Job Summary

Responsible for coordinating and managing medical education programs by fostering relationships with healthcare providers, such as physicians, nurses, and other clinical professionals, to facilitate their professional development and ensure the organization offers high-quality educational opportunities.

Essential Functions

-Collaborate with internal stakeholders, such as medical staff, department heads, and education committees, to identify educational needs and develop comprehensive medical education programs.
-Establish and maintain relationships with healthcare providers to understand their educational needs and promote participation in the organization's programs.
-Organize and manage educational events, including scheduling, venue selection, logistics coordination, and securing necessary resources (e.g., speakers, audiovisual equipment, materials).
-Ensure that the organization's educational programs meet the requirements of accrediting bodies and regulatory agencies responsible for CME.
-Develop marketing strategies and materials to promote medical education programs to healthcare providers.
-Collect feedback from participants, instructors, and stakeholders to assess the effectiveness and impact of educational programs.

Description:Ā 

Under the direction of the MGB Pathology Director of Education and the Senior Manager, theĀ EducationĀ Program CoordinatorĀ is responsible forĀ theĀ day-to-dayĀ operations, onboarding and management of visitors (observers and non-employee researchers) in the Department of Pathology. TheĀ educationĀ program coordinatorĀ isĀ alsoĀ responsible forĀ the operational management of theĀ various CME programsĀ and trainee lecture seriesĀ in the Department of Pathology.Ā Ā 

Principal Duties and Responsibilities:Ā 

In collaboration with theĀ director and MGB Pathology Education team members, theĀ ProgramĀ CoordinatorĀ is responsible forĀ Ā 

Ā 

  • Oversee observerĀ processĀ byĀ scheduling all observers and non-employee researchers and monitoringĀ andĀ fairly adjudicatingĀ requests from faculty and visitors following MGB Pathology Education Office Visitor guidelines.Ā 
  • Serves asĀ primaryĀ point of contact for all visitors to the department.Ā 
  • OnboardsĀ all visitorsĀ by collecting required documents,Ā facilitatingĀ visasĀ and paymentĀ from the visitorĀ (when applicable).Ā 
  • EnsuresĀ visitors areĀ clearedĀ and approvedĀ by Occupational Health andĀ Sponsored Staff Office.Ā 
  • Monitors visitor compliance with all institutional requirements such as HealthStream trainings andĀ compliance with MGB vaccination requirements.Ā 
  • Serve as administrator for Pathology Grand RoundsĀ and otherĀ residency and fellowship lecture series,Ā working with the MGB CPD office toĀ submitĀ required documents toĀ achieve ACCMEĀ CME credit for each conference.Ā 
  • ProvideĀ overall direct support to theĀ CourseĀ Directors as neededĀ 
  • AssistsĀ with special projects as directed.Ā 
  • Performs duties with minimal supervision.Ā Ā

QUALIFICATIONS:Ā Ā Ā Ā Ā 

  • Associate's degree isĀ required;Ā Bachelor’sĀ preferredĀ 
  • Work experienceĀ 2-3Ā years in the following areas: Graduate Medical Education, Hospital or HealthcareĀ stronglyĀ preferred.Ā Ā 
  • Excellent interpersonal,Ā oralĀ and written communication skills.Ā 
  • Excellent critical thinking and time management skills.Ā 
  • Astute attention to details, commitment to accuracy and integrity of all data, reports, and communications.Ā 
  • Ability to work independently, take initiative and work in fast pace, team environment as well asĀ have the ability toĀ exercise decision-making skills, to prioritize workload and to manage multiple complex and concurrent projects and tasks assigned to the Senior Program Coordinator.Ā 

Requirements:Ā 
With the increasing scope and complexity of program requirements and documentation, theĀ EducationĀ ProgramĀ CoordinatorĀ must have excellent organizational skills, effective analytical skills and have an ability to exercise independent and sound judgment. Must be able to triage multiple priorities and meet deadlines in a complex environment with multiple interruptions. ExcellentĀ communicationsĀ skills are essential, including verbal, written, and computer communication abilities. Strong critical thinking, problem-solvingĀ and attentiveness to detailĀ required. This individual will be interacting with a variety of staff at many levels, often dealing with confidential information and strong interpersonal skills are critical. MustĀ possessĀ excellent computer skills including MS Word, Excel, and Outlook. Experience with web authoring would be helpful. Knowledge of, or ability to learn other software programs, especially GME New Innovations, hospital specific software (i.e.,Ā WorkDayĀ and Beeline), and other database management programs as necessary (i.e.Ā ERAS, ADS).Ā Ā Knowledge of basic financial analysis and budget processesĀ helpful.Ā Ā Ā Ā
