About the Role
The University is establishing a formal Parent Engagement and Communication function for the first time. The role holder will be responsible for helping design, establish, and operationalise the University's parent communication ecosystem from the ground up.
The role combines parent engagement, communication, coordination, content development, service operations, and data-driven improvement. The individual will serve as an important interface between parents and the University, ensuring that parents receive timely, accurate, consistent, and meaningful communication while enabling the University to understand and respond effectively to parent needs.
The role will also contribute to the eventual establishment of a formal Parents' Office within the University.
Key Responsibilities
1. Establishing the Parent Communication Function
- Assist in designing and establishing the University's parent communication framework, processes, and protocols.
- Develop standard operating procedures (SOPs) for handling parent communication and queries.
- Establish communication channels, escalation mechanisms, response protocols, and service standards for parents.
- Create and maintain a central repository of parent-related information, communication templates, FAQs, policies, and resources.
- Identify recurring parent concerns and work with relevant University departments to develop systemic solutions.
- Continuously improve the parent communication experience based on feedback, data, and operational learnings.
2. Parent Orientation & Engagement
- Plan and coordinate Parent Orientation Programmes for new and existing parents.
- Develop orientation agendas, presentations, briefing material, FAQs, and communication collateral.
- Coordinate with academic, student affairs, residential life, finance, admissions, career services, and other relevant stakeholders for orientation programmes.
- Manage the end-to-end logistics and communication for parent orientation sessions.
- Collect and analyse parent feedback following orientations and recommend improvements.
3. Parent Handbook & Communication Content
- Develop and maintain the University's Parent Handbook as a comprehensive guide to the University's academic, residential, administrative, and student-support ecosystem.
- Coordinate with different departments to ensure information published in the handbook is accurate and current.
- Develop FAQs and explanatory guides addressing common parent questions.
- Create communication templates for important parent-facing announcements and updates.
- Ensure that parent communications are clear, consistent, empathetic, professional, and aligned with the University's communication standards.
4. Parent Email Management & Query Resolution
- Manage the University's designated Parents' Email ID / Parent Helpdesk.
- Receive, categorise, acknowledge, track, and respond to parent queries.
- Resolve queries that fall within the role's scope and coordinate with the appropriate University stakeholder for queries requiring departmental intervention.
- Maintain a query-tracking mechanism to ensure that no parent query is missed or left unresolved.
- Monitor and improve the turnaround time (TAT) for parent queries.
- Establish escalation mechanisms for delayed, sensitive, or unresolved cases.
- Maintain a database of recurring queries and develop FAQs or process improvements to reduce repetitive queries.
- Ensure that communication with parents maintains appropriate confidentiality and professional boundaries.
5. Cross-Functional Coordination
- Act as the coordination point between parents and relevant University departments.
- Follow up with stakeholders to obtain timely responses to parent queries.
- Track pending cases and ensure closure within defined service timelines.
- Develop a stakeholder-wise escalation matrix for parent queries.
- Identify bottlenecks in internal processes that contribute to delays in responding to parents.
- Work with departments to establish clearer ownership and accountability for parent-related matters.
- Prepare periodic reports on pending, resolved, escalated, and recurring parent issues.
6. Quarterly Parent Bulletin
- Conceptualise, develop, and publish a Quarterly Parent Bulletin showcasing the University's activities and learner achievements.
- Collect stories, achievements, milestones, photographs, and updates from academic and administrative departments.
- Highlight learner achievements, faculty initiatives, campus developments, events, competitions, internships, placements, research, community engagement, and other relevant accomplishments.
- Coordinate with relevant teams for content verification and approvals.
- Maintain an editorial calendar for regular parent communication.
- Continuously improve the bulletin based on parent engagement and feedback.
7. Parents' Visit Policy & Operations
- Assist in designing and implementing the University's Parents' Visit Policy.
- Develop operational processes for parent visits, including registration, permissions, communication, scheduling, campus access, and coordination.
- Coordinate with security, residential life, student affairs, facilities, academic teams, and other stakeholders involved in parent visits.
- Ensure that parents receive clear information regarding visit protocols and expectations.
- Maintain records and data related to parent visits.
- Identify operational challenges and recommend improvements to the parent visit experience.
8. Parent Communication Dashboard & Data
- Develop and maintain a Parent Communication Dashboard to provide visibility into the University's parent engagement and query-resolution mechanism.
- Generate periodic reports and insights for University leadership.
- Use data to identify patterns, bottlenecks, and opportunities for improving parent experience.
- Establish baseline metrics and progressively develop service-level benchmarks for parent communication.
9. Establishing the Parents' Office
- Support the University in conceptualising and establishing a formal Parents' Office.
- Help define its scope, mandate, services, processes, communication channels, and operating model.
- Develop the documentation, SOPs, workflows, templates, dashboards, and knowledge resources required for the Parents' Office.
- Assist in defining the roles and responsibilities of different stakeholders within the parent engagement ecosystem.
- Help create a scalable operating model that can evolve as the University and parent community grow.
- Support the transition from an individual-led parent communication function to a structured institutional Parents' Office.
