Summary: The Proposal Coordinator is responsible for managing schedules, tracking deliverables, maintaining compliance, and coordinating across technical, pricing, and contracts teams to ensure on-time, zero-defect submissions.
Position Responsibilities & Candidate Attributes:Â
- Coordinate all phases of the proposal lifecycle, including planning, development, review cycles, and final submission to ensure timely and compliant delivery
- Analyze solicitations (RFPs, RFQs, RFIs), develop compliance matrices and outlines, and ensure all proposal requirements and formatting guidelines are met
- Collaborate with internal stakeholders (business development, capture, technical teams, and leadership) to gather, manage, and refine proposal content
- Manage proposal documentation, including maintaining content libraries, tracking past performance and resumes, and ensuring version control
- Support proposal production by facilitating reviews (e.g., Pink, Red, Gold Teams), incorporating feedback, and handling editing, formatting, and submission through required channels
Preferred Education / Experience:
- Bachelor’s degree in business, Communications, English, or a related field (or equivalent experience)
- 2+ years of experience in proposal coordination, business development, or related role (government contracting experience preferred)
Preferred Knowledge / Ability:Â
- Experience supporting federal and/or DoD proposal effortsÂ
- Familiarity with proposal tools (e.g., GovWin, SharePoint, proposal management systems)Â
- APMP certification (or willingness to obtain)Â
- Working knowledge of DoD acquisition, R&D funding, and technology development programsÂ
- Strong understanding of federal procurement regulations (e.g., FAR)Â
- Excellent written and verbal communication skills; able to tailor messaging to diverse audiencesÂ
- U.S. citizenship required; active security clearance preferred or ability to obtainÂ
- Strong organizational, time management, and multitasking capabilitiesÂ
- High attention to detail with a focus on compliance and accuracyÂ
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, SharePoint)Â
- Experience with document control, formatting, and version managementÂ
Key Responsibilities:
- Support the Lead Proposal/Capture Manager across all proposal phases (kickoff through submission)Â
- Develop and manage proposal schedules, milestones, and deadlinesÂ
- Coordinate kickoff meetings, status calls, and review sessionsÂ
- Track action items and ensure timely completion across teamsÂ
- Maintain CRM data and reporting in coordination with BDÂ
- Coordinate SME inputs and resource alignmentÂ
- Manage document repositories (SharePoint/Teams or equivalent)Â
- Support Gate Reviews and color team reviews (Red/Gold)Â
- Track, manage, and resolve review commentsÂ
- Support final proposal production, formatting, and submissionÂ
- Interface with Capture, Technical, Pricing, and Contracts teamsÂ
- Ensure team alignment on requirements, timelines, and deliverables
