Job Overview

We are seeking a detail-oriented Program Assistant – Community Clinics to support the use of Epic at community-based vaccination clinics in order to deliver high-level services in the community. The day-to-day responsibilities includes creating vaccine clinic signups, managing cleint data, and providing technical support for vaccination events. The role will also require frequent interaction with confidential and protected health data and registries such as the Minnesota Immunization Information Connection (MIIC). This is a casual position that requires working various weekdays, evenings and weekends. The person will need to be able to travel around the metro area to various vaccination clinics.

Responsibilities

  • Utilize Epic to manage patient data accurately and efficiently at community-based events.
  • Assist in the registration of clients for vaccination, and other services as needed.
  • Assist communities served in navigating the clinic process and provide follow-up support.
  • Evaluate and process electronic batches and paper batches of patient data with accuracy.
  • Frequent interaction with confidential and protected health data and registries such as the Minnesota Immunization Information Connection (MIIC).
  • Collaborate effectively with the program coordinator, nurse managers, and community partners to register and set up vaccination clinics.
  • Serve as subject matter expert on Epic and train other staff to use Epic effectively.
  • Serve as a point of contact with the software vendor team for technical assistance and support.
  • Responsible to perform responsibilities at various Fairview and community sites.
  • Ability to meet casual work requirements. A minimum of 36 clinics per year.
  • Provide other administrative support tasks as assigned by the clinical lead or program manager, including data entry when applicable.
  • Evaluates clinical outcomes and data analysis for community clinical care programs and assists in developing reports and presentations, as needed.


Required Qualifications

  • 2 years using computer systems for data management, billing, or scheduling.
  • Experience using Microsoft applications including Microsoft Excel, Word, and Teams.
  • Excellent organizational skills.
  • Ability to collaborate with various levels of an organization and community.
  • Prior experience working with diverse community partners.
  • Experience training others.
  • Strong attention to detail and previous experience in data processing.
  • Excellent interpersonal and communication skills.
  • Need reliable transportation to attend clinics and meetings at various Fairview and community sites.
  • Flexibility to work weekdays, weekends and/or evenings to meet community clinics.

Preferred Qualifications

  • A.A./A.S. in a healthcare field
  • 1 year experience training others.
  • 2 years relevant experience in healthcare administration, community health, public health.
  • Previous experience with Epic or vaccine management software (e.g., PrepMod, VAMS, Primary) is advantageous.
  • Fluency in Spanish, Somali, Hmong, Karen, Amharic, Oromo, or Vietnamese is a plus.
  • Certification or training in healthcare administration or a related field

This position provides one flat hourly rate, with regular reviews to ensure competitiveness with themarket. If your role is eligible for a sign-on bonus, the bonus program that is approved and in place at the time of offer, is what will be honored.
