Mettā Vita Health | Baxter Village, Fort Mill, SC

Full-time · In-person · W-2 employment | Monday–Thursday, 9:00 a.m.–6:00 p.m.

Pay range: $21–$28/hour · Supporting telehealth and in-office patients

Are you a people-centered powerhouse—organized, solutions-focused, and values-driven?

Can you balance competing priorities, anticipate needs, and see how the details fit together—while making people feel genuinely welcome?

Mettā Vita Health is hiring a Front Office & Patient Experience Coordinator to support our telehealth and in-office patients, coordinate provider schedules, and keep front-office operations running smoothly. Based at our Fort Mill hub, you’ll answer calls, guide patients through paperwork and visit preparation, and help care for our shared clinical space.

You’ll work closely with our Practice Administrator as the reassuring voice and welcoming face of MVH—a central part of our team and often the first person to help a patient feel connected and supported.

About Mettā Vita Health
MVH is an established, growing multistate psychiatric and integrative mental health practice serving children, adolescents, adults, and families through psychiatry, therapy, functional medicine, neurofeedback, and coaching. The MVH Collectiveincludes our partners and independent community mental health professionals who rent rooms. Our expanding services, partnerships, and business ventures offer room to contribute and develop.

What You’ll Do
Patient connection and scheduling. Answer phones, welcome patients, explain administrative next steps, manage provider calendars, send and track paperwork, and assist with reminders, check-in, payments, portal access, and telehealth visit links.

Provider communication and follow-through. Route messages, coordinate next steps, track outstanding requests, and close the loop. Bring clinical questions, medication concerns, and urgent issues to the appropriate clinician under practice procedures.

MVH Collective coordination. Maintain member and partner rosters, room-use calendars, and recurring reservations. Assist with inquiries, tours, onboarding, shared-space expectations, and routine logistics within the services agreed with each independent practice.

Office care and readiness. Keep rooms and common areas clean, tidy, stocked, and welcoming. Monitor supplies, coordinate approved purchases, reset rooms, help with décor and seasonal touches, and flag cleaning or maintenance needs.

Cross-training & oversight. Learn NeuroCurrent setup to cover sessions when needed. Train and oversee the NFB technician’s front-office work, including schedules, patient communication, and office standards, with the Practice Administrator’s support. Clinical supervision remains with licensed clinicians.

Systems improvement. Anticipate needs, spot recurring problems, and bring practical solutions to the Practice Administrator. Help implement improvements to scheduling, onboarding, communication, and office processes—and check whether they work.

Events and growth projects. Support workshops, collective gatherings, community events, and team activities. Approved blog posting, social media, and marketing projects may be added based on interest and capacity; patient support comes first.

What You’ll Bring
Required experience. Front-office, patient-facing, and customer service experience, including answering phones, managing provider schedules, and coordinating appointments.

Communication and computers. Confidence communicating by phone, in writing, and in person; comfort with computers, email, calendars, electronic forms, and learning office systems. Electronic health record experience is preferred.

Privacy and judgment. An understanding of HIPAA and patient confidentiality is required, along with discretion, professional boundaries, and consistent use of approved systems.

Mindset and prioritization. A solutions-focused, values-driven systems thinker who anticipates needs, multitasks thoughtfully, prioritizes competing demands, and follows through. Comfortable asking for help, receiving feedback, and helping colleagues learn.

Why Join Mettā Vita Health?
Meaningful work. A valued role. You’re not behind the scenes—you’re central to how patients experience our practice. Your warmth, judgment, and follow-through matter, and so do your ideas.

A team with heart—and personality. We value genuine connection, collaboration, and a sense of humor. Team gatherings, social activities, celebrations, and community events give us opportunities to connect beyond the workday. We take good care seriously—and make room for fun along the way.

Your ideas are welcome here. Notice a better way to organize something, simplify a process, or support a patient? Bring it forward. You’ll work alongside our Practice Administrator and team to help improve how we work, with opportunities to contribute to events, community engagement, and marketing based on your interests.

Support, recognition, and room to grow. Our Performance & Engagement Framework provides supportive check-ins, meaningful feedback, and opportunities for recognition and performance-based rewards. As MVH expands, there may be opportunities to develop new skills and take on additional responsibilities—with guidance and support, not simply a longer task list.

Compensation & Benefits
Hourly compensation: $21–$28/hour, commensurate with relevant front-office and patient-service experience, qualifications, scheduling expertise, and demonstrated skills in coordination and systems improvement. This is a full-time W-2 position. PTO, holiday arrangements, and health benefits—including eligibility—will be reviewed during hiring. Performance-based recognition and rewards are discretionary.

To Apply
Send your rĂ©sumĂ©, availability, and a brief introduction to admin@mettavitahealth.com, with the subject “Front Office Coordinator Application.” Share what draws you to MVH and an example of anticipating a need, improving a process, or helping someone feel supported.

Bring your warmth. Bring your initiative. Make a difference from the first hello.
