Job Overview:

Responsible for helping out throughout the company with various work tasks as deemed necessary. The Administrative Assistant reports into the Executive Team. This individual is responsible for assisting management and all visitors to the company by handling office tasks and providing professional assistance.

Fully on-site 

Primary Duties and Responsibilities:

  • Provides administrative support to ensure efficient operation of the organization.
  • Answers phone calls, schedules meetings and provides general support to visitors.
  • Carries out administrative duties such as filing, typing, copying, binding, scanning etc.
  • Maintain general training binders for staff, as well as track and file different training.
  • Assist the HR department with new hire orientation and paperwork.
  • Makes travel arrangements for staff such as booking flights, cars, and hotel or restaurant reservations.
  • In charge of ordering food for meetings, events, etc. 
  • Maintain monthly payments and receiving invoices by confirming receipts of items as requested by the Executive Team. 
  • Maintains supplies inventory by checking stock to determine inventory level, anticipating needed supplies, placing, and expediting orders for supplies.
  • Distribute daily mail to departments and individuals 
  • Support other staff as needed
  • Other tasks as assigned. 

Experience and Education

  • High school diploma or equivalent education required
  • At-least 3 years of administrative assistant experience
  • Knowledge of appropriate software including Microsoft Word, Excel, Outlook, Microsoft PowerPoint, and Adobe Acrobat
  • Valid driver’s license

  • Ability to work within a team setting and as an individual contributor
  • Excellent time management skills and the ability to prioritize work
  • Attention to detail and problem-solving skills
  • Excellent oral and written communication skills
  • Ability to analyze information
  • Exhibits polite and professional communication via phone, e-mail, and in-person
  • Knowledge of basic lab safety procedures
