Executive Assistant (Repairs & Compliance) – 3 Month Contract


Location: Wood Green
Rate: £29.75 per hour (Umbrella)
Working Pattern: Hybrid – Minimum 3 days office-based, up to 2 days working from home
Hours: Monday to Friday, 9:00am – 5:00pm
Contract: Temporary (3 Months)
Pay: Bi-weekly

Summary


This temporary 3-month contract role involves providing high-level executive support to the Assistant Director of Repairs & Compliance and the Director of Housing. The Executive Assistant will play a crucial role in managing the Directors' schedules, meetings, and correspondence, ensuring they can focus on strategic priorities. The ideal candidate will be highly organized, capable of handling multiple priorities, and adept at maintaining strong stakeholder relationships.

Responsibilities


  • Executive & Diary Management:
    • Manage complex diaries for senior directors.
    • Schedule and coordinate meetings, appointments, and events.
    • Resolve scheduling conflicts and prioritize attendance.

  • Meeting Coordination & Governance:
    • Organize and support meetings, prepare agendas, and circulate documentation.
    • Attend meetings, take accurate minutes, and track action items.

  • Email & Correspondence Management:
    • Monitor and prioritize Directors' inboxes.
    • Draft and manage correspondence on behalf of Directors.

  • Administrative & Operational Support:
    • Provide administrative support to the Housing Directorate.
    • Assist with document preparation and reporting.

  • HR & Workforce Administration:
    • Support employee administration processes, including leave management and recruitment.

  • Financial & Procurement Support:
    • Assist with procurement processes and invoice management.

  • Stakeholder Management:
    • Build relationships with senior managers, elected members, and external partners.

  • Performance & Service Support:
    • Support service improvement initiatives and ensure efficient service delivery.

Requirements

Requirements:

Essential


  • Extensive experience in executive or senior-level administrative support.
  • Proficiency in managing complex diaries and meeting schedules.
  • Strong minute-taking and action-tracking skills.
  • Ability to handle confidential and sensitive information.
  • Excellent organizational and stakeholder management skills.

Desirable


  • Previous experience in local authority or council settings.
  • Experience supporting Directors or Senior Leadership Teams.
  • Background in Housing, Repairs, Property Maintenance, or Compliance Services.
  • Familiarity with finance, procurement, recruitment, and HR administration processes.

Qualifications


  • Essential: Good standard of education, including English and Mathematics.
  • Desirable: Qualification in Business Administration or related field.

Knowledge


  • Essential: Understanding of executive support functions and office administration.
  • Desirable: Knowledge of Local Government structures and Housing services.

Experience
