Position Summary

The Division Order Technician serves as a key point of contact for royalty owners and working interest owners while supporting the maintenance of ownership records and Division Order functions. This role combines customer service, ownership administration, and data management responsibilities to ensure accurate and timely processing of owner information, documentation, and inquiries.

The successful candidate will independently resolve routine owner inquiries, perform ownership-related updates, maintain accurate records, and collaborate closely with Division Order Analysts on more complex ownership matters. Key Responsibilities

Owner Relations & Customer Support

  • Serve as a primary point of contact for royalty owners and working interest owners via phone and email.
  • Respond professionally and timely to inquiries regarding ownership records, account maintenance, payment-related questions, and documentation requirements.
  • Research and resolve routine owner inquiries independently.
  • Communicate ownership transfer requirements and documentation needs to owners and representatives.
  • Document and track owner communications and follow-up activities.
  • Escalate complex ownership, title, legal, or payment matters to Division Order Analysts as appropriate.
  • Deliver exceptional customer service while maintaining professionalism during challenging conversations.

Ownership Records Management

  • Maintain accurate ownership information within company systems.
  • Process changes to owner contact information, mailing addresses, direct deposit information, and related account updates.
  • Review, organize, and maintain ownership documentation and electronic records.
  • Assist with ownership transfer workflows and related recordkeeping activities.
  • Support ownership audits and data validation efforts.
  • Ensure ownership records are maintained accurately and in accordance with company procedures.

Division Order Support

  • Assist with the preparation and distribution of division orders, ownership correspondence, and related documentation.
  • Support Division Order Analysts in ownership research and ongoing ownership maintenance activities.
  • Assist with special projects related to ownership administration and client support.
  • Learn and apply Division Order principles, ownership concepts, and industry best practices.

Escheatment & Regulatory Support

  • Support annual unclaimed property and escheatment processes.
  • Prepare and coordinate due diligence mailings and owner outreach efforts.
  • Research owner contact information and follow up on returned mail or inactive owner accounts.
  • Assist with annual 1099 processing activities and related owner inquiries.
  • Support compliance with client, company, and regulatory requirements.

Technology & Process Improvement

  • Utilize Quorum, Pak, and other company systems to maintain ownership records and support Division Order processes.
  • Identify opportunities to improve data quality, efficiency, and owner service.
  • Follow established departmental procedures and contribute to continuous process improvement efforts.
  • Participate in training and professional development activities.

Qualifications

Required

  • High school diploma or equivalent.
  • Minimum two years of customer service, administrative support, operations, financial services, legal support, title, insurance, banking, real estate, or related experience.
  • Strong verbal and written communication skills.
  • Excellent organizational skills and attention to detail.
  • Ability to manage multiple priorities and deadlines in a fast-paced environment.
  • Strong problem-solving and research skills.
  • Proficiency in Microsoft Office applications, particularly Excel, Outlook, and Word.
  • Ability to work effectively both independently and as part of a team.

Preferred

  • Bachelor's degree.
  • Oil and gas industry experience.
  • Experience in customer-facing roles involving high call volumes and issue resolution.
  • Experience maintaining records within business systems or databases.
  • Experience with Quorum, Pak, or similar land, ownership, or accounting systems.
  • Exposure to Division Order, Land Administration, title, ownership, or revenue processes.
