About the Role
The Portfolio Business Manager is the operational and analytical backbone for three earlier-stage portfolio companies reporting to the Chief Operating Officer. You will give each business the management infrastructure, financial visibility, and operational discipline it needs to scale, without each one having to build its own back office from scratch.
Working for the COO and in close partnership with the CEO, CRO, and CFO, you will make sure each business’s numbers are understood, its processes are documented, its people are developing, and its coordination with shared services and sister companies is tight and productive.
What You’ll Do
- Business Operations Support:Â Serve as the day-to-day operations resource for each portfolio company, partnering with its leadership to put sound processes, administrative functions, and management disciplines in place.
- Shared Services Coordination:Â Ensure each business effectively uses the Finance, HR, IT, Marketing, and Legal services provided centrally.
- Operating Cadence:Â Help each President or Director build weekly rhythms, reporting routines, and accountability structures that keep teams executing consistently.
- Financial Reporting & Analytics:Â Own financial reporting and business analytics for the portfolio, delivering accurate, timely, and actionable insight to the COO, CEO, and CFO.
- Dashboards & Business Reviews:Â Build entity scorecards covering revenue, margin, pipeline, utilization, and project delivery, and prepare monthly and quarterly business reviews for leadership.
- Planning & Forecasting:Â Support the CFO with budget development, variance analysis, and financial planning, and support the CRO with pipeline and revenue analysis.
- People Development:Â Help leaders build performance frameworks, identify training needs, and onboard new team members with day-one access to systems and tools.
- Process & Systems:Â Document and improve core processes such as client intake, project delivery, billing, and reporting; drive data quality in Zoho CRM, Projects, and Billing; and maintain EOS Scorecards, Issues Lists, and Rocks between quarterly sessions and L10 meetings.
- Cross-Company Coordination:Â Connect the right people across the portfolio and sister companies, facilitating communication, referrals, and process alignment.
What You Bring
- 5+ years of progressive experience in business operations, financial analysis, business management, or a related field, ideally in a multi-entity, professional services, or growth-stage environment
- Strong financial analysis and business intelligence skills, including building dashboards, analyzing P&Ls, identifying variances, and turning data into clear operational insight
- Proven ability to support multiple business units at once, balancing competing priorities, cultures, and business models without losing rigor
- Experience documenting, standardizing, and improving processes in organizations still building their management infrastructure
- Strong interpersonal and coordination skills, with the ability to lead through relationships and influence
- Bachelor’s degree in Business Administration, Finance, Accounting, or a related field preferred, or an equivalent combination of education and experience
Highly Preferred
- Experience with Zoho CRM, Zoho Projects, or Zoho Billing, or comparable CRM and project management platforms
- Familiarity with EOS (Entrepreneurial Operating System), including Scorecards, Rocks, L10 meetings, and the V/TO
- Background in professional services, consulting, testing/certification, or technical services businesses
- Experience supporting fractional or shared-services finance functions in a multi-entity environment
- Comfort operating in ambiguity and finding rapid growth energizing rather than frustrating
