Campaign Seminar Specialist, is responsible for planning, coordinating, executing, and monitoring all mailed and counselor-driven seminar campaigns. This role is responsible for ensuring seminars are executed effectively, certification requirements are met, Salesforce processes are followed and ensures all events generate a high volume of qualified leads and achieve strong lead-to-appointment conversion.Seminar Planning and Coordination
Partner with Sales Managers (SMs) and the Market Sales Managers (MSMs) monthly and quarterly to plan and schedule seminars in advance. Specialist is responsible for coordinating all seminar logistics, including:
• Identify hosting ground by geographic and demographic
• Ensure hosting ground is reserved and booked
• Coordinate food items and menus
• Finalize contracts and payments
• Add and maintain events in calendars to maximize attendance, market coverage, and campaign effectiveness. Detail event plans with hosting Sales Managers.
• Place seminar order on Salesforce under Event Ordering App accurately and within the appropriate time frame.
Ensure seminar materials, including flyers, seminar kits, presentation supplies, giveaways, and signage, are stocked, organized, and aligned with corporate branding standards.
Seminar Execution and Support
In addition to presenting at select seminars, Specialist is responsible for ensuring the team has the materials, supplies, and equipment needed for successful seminar execution. Specialist is also expected to attend seminars as needed to ensure events are executed accordin
g to company standards and expectations. While onsite, the Specialist may provide support with:
• Event setup and breakdown
• Registration and guest check-in
• Table Host coordination
• Guest experience management
• Resolve any issues that may arise
• Collecting evaluations, worksheets, and other required documentation
Salesforce Tracking and Lead Management – Post Event
Post event, Specialist is responsible for ensuring seminar leads are accurately entered into Salesforce and monitor the following:
• Leads are actively worked
• Leads or Accounts are sourced to the correct campaign
• Appointment follow up is completed
• Lead or Account ownership is accurate
• Sales must be sources to the correct campaign
Specialist must utilize the Seminar Tracking Excel Logs for each seminar and communicate with SMs to drive accountability on lead follow up and appointment conversion.
Reports and Dashboards
To track seminar performance, maintain accurate reporting, identify areas for improvement, and
provide updates to leadership, the Seminar Specialist will utilize Salesforce reports and dashboards
to identify the following:
• Unworked Leads / Activities
• Sales Made Yesterday
• Past Due Tasks
• Quarterly Campaign Dashboard
• Seminar attendance
• RSVP conversion rates
• Appointment conversion
• Seminar Total Cost
• Cost of Sale (COS)
• Return on Investment (ROI)
Cross-Functional Collaboration & Support
Campaign Specialists are to work alongside and collaboratively to ensure seamless execution of
grassroots and seminars.
• Provide cross-functional support by assisting one another during periods of increased
workload, staffing shortages, vacations, or business needs.
• Jointly plan and coordinate seminar schedules, venue logistics, marketing timelines, and
campaign execution.
• Partner in the development, planning, and implementation of seminar strategies to
maximize attendance, lead generation, and sales opportunities.
• Collaborate on the training, planning and certifications relating to seminars.
• Participate in seminar planning meetings and provide recommendations for continuous
improvement of seminar operations.
Certification & Training Support
Specialist is responsible for identifying, tracking, and maintaining certification for all Table Hosts
and Presenters. This includes maintaining certification records, coordinating monthly certification
workshops and seminar readiness sessions for managers and Table Hosts, and providing ongoing
coaching and support to ensure seminar readiness and successful execution.
Certification requirements are as follows:
• MindTickle courses must be completed
• Evaluation forms filled out and signed
• Role Play exercises
• Mock Run exercises
Meetings and Communication
Specialist must attend the following meetings:
• Weekly Manager Meeting – provide update and insight on seminar performances,
certification status, campaign results, lead accountability, and overview of upcoming
seminars.
• Monthly Performance Meeting – provide overall seminar performances, expectation
alignment, productivity and KPIs, and improvement opportunities.
• Quarterly planning meetings alongside other campaign specialist with the Sales
Managers to establish upcoming mailed and counselor-driven seminar goals.
o Specialists and managers will align on seminar volume, locations, target
demographics, hosting teams, and event details, including restaurant selections.
This proactive planning ensures the market is prepared to meet NAS mailed
seminar expectations and maximize seminar effectiveness.
Overall Expectations and Time Allocation
• Successfully coordinate all mailed and counselor-driven seminars from planning through
completion.
• Prospect and Network with Company’s for Affinity Partnerships. At least 1 per quarter.
• Maintain seminar calendars and ensure timely execution of all scheduled events.
• Maintain 100% compliance with seminar certification requirements.
• Ensure all seminar leads are entered into Salesforce accurately and within established
timelines.
• Facilitate, coordinate, and track all things related to certifications for seminar and table
host trainings, overview sessions, etc.
• Ensure all events generate a high volume of qualified leads and achieve strong lead-toappointment
conversion.
• Attend mailed seminars to assist and examine flow and coordination of seminars.
• Maintain seminar inventory, supplies, promotional materials, and event equipment.
• Ensure all seminar expenses, contracts, and payments are processed accurately and on
time.
• Deliver accurate monthly reporting on seminar performance, attendance, Cost of Sale
(COS), ROI, and conversion metrics. Maintain consistent communication with Sales
Managers, the Market Sales Manager, and leadership regarding seminar performance and
upcoming initiatives.
Time allocation is intended as a guideline and may fluctuate based on business needs, event
schedules, and market priorities. The responsibilities of this role are not limited to the percentages
outlined below.
45% – Mailed and Counselor-Driven Seminar Planning & Execution
20% – Seminar Support, Certification & Training
15% – Salesforce Lead Management & Reporting
10% – Manager Meetings, Campaign Planning & Communication
10% – Seminar Materials, Inventory Management & Administrative Support
Compensation:
$25.00 to $26.00 per hour
An individual’s pay within the scale is based on several factors that may include one or more of the following: background, skills, relevant experience, performance, education and work location.
