Location: Yarmouth Port, MA · Full-Time, In Person · Hours: Mon–Thu 8:30 a.m.–4:30 p.m., Fri 9:00 a.m.–4:30 p.m. · Pay: $20.00–$27.00 per hour
Urology Associates of Cape Cod is seeking a detail-oriented, organized Patient Accounts Coordinator to manage two essential functions: following up on outstanding patient balances and keeping our electronic fax inbox moving. You will work independently while collaborating with our clinical, billing, and administrative teams.
WHY UACC
- Physician-owned and independent – the largest urology practice on Cape Cod, caring for the Cape & Islands for over 40 years.
- A year-round, predictable schedule: Monday–Thursday 8:30 a.m.–4:30 p.m. and Friday 9:00 a.m.–4:30 p.m. No nights or weekends.
- A small, supportive team where you work directly with our clinical and billing staff.
PATIENT COLLECTIONS
- Review aging reports in eClinicalWorks (eCW) and prioritize overdue patient balances.
- Confirm each balance is correct before outreach, checking for insurance processing errors, adjustments, or open billing issues.
- Call and write to patients about their balances, explaining statements and payment history clearly and courteously.
- Set up payment arrangements under practice policy and document all account activity in eCW.
- Work with the billing team to resolve disputed balances and reconcile patient payments.
- Identify accounts for escalation and coordinate placements, updates, and recalls with our collection agency partners.
- Follow federal and Massachusetts requirements for patient billing, debt collection, and privacy.
FAX INBOX
- Monitor the electronic fax inbox throughout the day and keep the backlog low.
- Match lab results, imaging reports, referrals, consultation notes, and insurance correspondence to the correct patient and upload them to the chart in eCW.
- Route results and reports to the right physician or clinical team, and referrals to the scheduling team.
- Escalate time-sensitive documents promptly under established protocols, without interpreting results.
- Identify incomplete, illegible, duplicate, or misrouted documents and coordinate corrections.
REPORTING & WORKFLOW
- Prepare routine reports on outstanding balances, collection activity, and fax turnaround times.
- Identify opportunities to improve workflows and reduce administrative inefficiencies.
QUALIFICATIONS
- High school diploma or equivalent.
- Experience in a medical office, healthcare billing, patient accounts, or a related administrative role.
- A professional, compassionate approach to patient financial conversations, with excellent written and verbal communication.
- Accuracy with high document volumes and the ability to manage competing priorities independently.
- Proficiency with computers, electronic document management, and Microsoft Office.
- Strong understanding of patient confidentiality and HIPAA.
- Preferred: two or more years in practice administration or revenue cycle; experience with eCW, patient collections, accounts receivable, or payment reconciliation; familiarity with EOBs and medical terminology.
BENEFITS
- Health insurance (Blue Cross Blue Shield), dental insurance, and vision insurance
- 401(k) with employer matching
- Paid time off and paid sick time
