This role is being advertised by Brightwork who are recruiting for our client in Edinburgh and we require temporary Function and Events Manager for our clients site. (possibility of becoming Permanent)

We are looking for an experienced Function and Events Manager to work in a busy University based in Edinburgh.

Hours of work are circa 37.5 hours per week however flexibility is required as this will encompass early shift / back shift / weekend working.

As a Function and Events Manager the main duties include the following:

To provide a professional, proactive point of contact for clients and guests to the
University both internal and external in the planning, organising and delivery of events.

To work with the catering and events teams to provide a high calibre front of house service ensuring complete guest and client satisfaction during and post event.

To provide a continuous point of contact for clients in the planning and organising of events from initial booking to delivery and post evaluation of the event

To undertake facility visits, meetings and negotiations with clients and potential clients both internal and external on all aspects of their events and to ensure each client is given all the support necessary to ensure the booking or event runs smoothly and according to plan.

To monitor financial performance to ensure the delivery of key targets including the production of financial reports for management decision making and price setting.

Costing menus along with staffing to ensure the service delivery is viable.

To contribute to the wider accommodation, conference and events team as well as the catering teams in the production of sales and marketing materials including menu planning and service level agreements.

To contribute to the planning and delivery of summer language school contracts. Liaising with schools, internal departments and colleagues in the ACE team to facilitate onsite catering & classroom provisions and high quality delivery of service.

To ensure full compliance with all statutory obligations in relation to the provision of
food and alcohol on campus including Scottish personal licence holders responsibilities.

To assist in the planning and attendance of events such as wedding fairs.

Engage with departmental colleagues proactively to help the department take deliberate steps to support the enhancement and development of processes, procedures and services so that they meet the needs of both internal and external customers.

To provide training for event staff, compile rotas and ensure that events are delivered within University processes and procedures.

To display excellent communication skills and demonstrate the University's values and behaviours in a friendly confident and outgoing manner.

To have proficient IT skills utilising various packages including excel, outlook, word, MS teams, and events CRM system.

Engage fully in any training and staff development identified as being appropriate for the post holder (through PDR), to ensure ongoing professional and personal development.

To undertake any other reasonable duties that may be required.

Be responsible for ensuring that the information and records processed (received, created, used, stored, destroyed) on behalf of the University are managed in compliance with ALL applicable legislation, codes and policies e.g. Data Protection, Information Security and Records Management.

Key Requirements for this role:
Experience in a similar role is required
Relevant HND or equivalent qualification in Hospitality Management or related discipline, or significant demonstrable relevant experience gained in a hospitality/events setting.

Ideally be a Personal Licence Holder. / Have First Aid experience / Allergen Aware
