Are you an experienced and highly organised Administrator looking for a long-term freelance opportunity on a significant infrastructure project? We are seeking a dedicated individual to provide comprehensive administrative support to a major 400Kv construction project based in the Peterhead region. This is a key role ensuring the smooth day-to-day running of the project office and supporting the wider project team.
Key Responsibilities:
- Procurement and Logistics: Order plant and materials from both internal and external suppliers. This includes arranging transport as necessary and liaising effectively with the Plant Desk to coordinate repairs or replacements.
- Environmental Data Management: Accurately enter all Waste Transfer Notes and Special Waste Transfer Notes onto the Environmental Database at the end of each month.
- Subcontractor Compliance: Verify that all new subcontractors possess full and current licenses, and meticulously enter this information onto the project database.
- Document Control: Manage all incoming and outgoing correspondence, maintain project files, oversee the standards library, update the design log, record minutes of meetings, and handle all other project-related documentation with precision.
- Site Mobilisation: Issue and diligently maintain Site Start-up Packs for various contracts.
- Project Close-Out: Prepare all necessary documentation for contract close-out meetings and ensure timely submission of documents to the client as required.
- Meeting Support: Take accurate and concise meeting minutes as directed by the Project Manager.
- Fleet Management Support: On a weekly basis, check that all vehicles are correctly allocated to the appropriate contract. Monitor permit to drives and driver reports. Familiarity with the Masternaut system would be a distinct advantage.
- Health, Safety & Compliance: Uphold general health and safety standards within the project office and carry out project-related administrative duties in strict accordance with the Business Management System.
- General Administration: Undertake various general administrative tasks, including but not limited to, producing minutes of meetings, photocopying, scanning, and providing other ad hoc assistance as required by the company to support the project's success.
Essential Skills & Experience:
- Proven experience in a similar administrative role within a construction or engineering project environment.
- Proficiency with SAP is essential for this role.
