Client Services Administrator - Job Spec
Client Services Administrator to support client-facing operations. This role is pivotal in ensuring a seamless experience for clients by managing administrative tasks, coordinating service delivery, and maintaining accurate records. The ideal candidate will have excellent communication skills, a customer-first mindset and to have the ability to multitask in a fast-paced environment.
Key Responsibilities:
- Act as the first point of contact for client inquiries via phone, email, or in-person.
- Maintain and update client records in CRM and internal databases.
- Schedule and coordinate client meetings, service appointments, and follow-ups.
- Prepare and process client documentation, contracts, and service agreements.
- Liaise with internal departments to ensure timely and accurate service delivery.
- Monitor and track service requests, ensuring resolution within agreed timelines.
- Generate reports and summaries for client accounts and service performance.
- Assist in onboarding new clients and ensuring a smooth transition process.
- Support the Client Services team with general administrative duties.
- Be the middle person between the paraplanner and Manager.
Requirements:
- Proven experience in an administrative or client support role.
- Excellent written and verbal communication abilities.
- Customer-focused with a problem-solving attitude.
- High attention to detail and accuracy.
- Happy to be client facing
Preferred Qualifications:
- Experience in a client services or customer success environment.
- Experience in relevant field required, roughly 1+ year. However, more so looking for the right candidate.
- Knowledge of basic project coordination or service delivery processes.
Working Conditions:
- Office-based
- Flexible around the candidate with working hours (for example, 8-4, 9-5)
- Holidays: 5 weeks per year. Every public and bank holiday also. Off from 23rd December to first working day in January for Christmas
- No HR department - Group income protection
Salary: 25-30k mark
