Facilities Administrator -New York

Are you an Agile, service-oriented professional with a passion for creating safe, efficient, and welcoming workspaces? We're seeking a Facilities Administrator to join an Agile global team supporting multiple US office locations.

In this role, you'll be instrumental in delivering high-quality workplace services, managing vendor relationships, and ensuring smooth day-to-day operations. You'll work closely with the Assistant Facilities Manager (Americas) and be the go-to person for facilities-related queries and support.

Key Responsibilities

  • Act as the first point of contact for all Facilities Helpdesk requests.
  • Conduct property inspections and follow up on maintenance issues.
  • Monitor office cleanliness and liaise with contractors to uphold standards.
  • Manage off-site archival systems and ensure accurate record-keeping.
  • Maintain beverage/snack supplies and coordinate catering needs.
  • Handle incoming/outgoing mail and courier services.
  • Set up meeting rooms and assist with space planning and office moves.
  • Administer access control cards and liaise with building management.
  • Support contract management and service agreements.
  • Assist with basic support/repair tasks and coordinate specialist contractors.
  • Process invoices and expenses in line with company policies.
  • Provide cover for the Assistant Facilities Manager during absences.
