This is a rare and exciting opportunity to step into a key role within a well-established organisation. As Office Manager, you will take responsibility for the smooth day-to-day office management, overseeing administration and marketing staff, providing direct support to the Directors and HR functions. The role calls for strong organisational skills, excellent time management, and the ability to manage multiple priorities effectively.

Job Title: Office Manager / PA

Salary: 37,500

Hours: Monday to Friday, 9am to 5.30pm

Benefits: Pension, private healthcare (after 1 year), 25 days holiday, holiday buy back scheme.

Responsibilities:

  • Oversee smooth day-to-day running of the office and provide PA support to Directors.
  • Manage business operations including budgets, contracts, insurance, pensions, and benefits.
  • Handle financial processes: invoicing, payments, debtor management, and liaising with external accountants for VAT, payroll, and tax.
  • Direct incoming calls and ensure professional formatting of reports, specifications, and meeting minutes.
  • Liaise with Directors, negotiate with suppliers, and manage company contracts and supplies.
  • Maintain and update QA procedures, policies, and manuals.
  • Supervise the Marketing Coordinator, oversee social media, presentations, corporate events, and database management.
  • Support HR functions: recruitment, inductions, training plans, appraisals, and staff development (with external legal HR support as required).
  • Maintain Health & Safety policies, procedures, and staff PPE.
  • Work with IT support and suppliers to manage systems, hardware, software, and contracts.
  • Ensure compliance with Data Protection and GDPR.

Requirements:

  • Proven experience in office and operations management.
  • Strong organisational and time management skills, with the ability to prioritise.
  • Excellent written and verbal communication skills.
  • High attention to detail and strong problem-solving ability.
  • Confident user of MS Office and general office software.
  • Knowledge of finance, HR, and business administration practices.
  • Experience in budget management and supplier negotiations.
  • Ability to build strong relationships internally and externally.
  • Self-motivated, proactive, and adaptable.
