Eventus Recruitment are seeking a IFA Administrator to join a modern and fast-paced team in Altrincham. Working in the Client Services team, reporting to the Practice Manager, you will be liaising closely with the team of Financial Planners. You will be responsible for the impeccable management of business submission, preparing adviser meetings packs, ensuring client records remain accurate and complete, and managing a high level of plan information requests (Letters of Authority). You will benefit from 25 days holidays (PLUS bank holidays), Hybrid (2 days office, 2 days at home), flexible working policy, study support.

Role Responsibilities

The incoming IFA Administrator will provide high quality administrative support to Financial Advisers and the Practice Manager including, but not limited to:

  • Support the day-to-day operations for advisers
  • Liaise with clients to help with any questions and queries and booking in review meetings as appropriate;
  • Liaise with third parties to provide information on clients plans & using checklists to ensure all information has been provided once received and chasing up outstanding information;
  • Obtain quotations from product providers and provide illustrations and product information to the Advisers as required;
  • Prepare files including: compliance required documentation; research; illustrations; supporting documentation, prior to sale;
  • Ensure that files are complete post-sale with all required client identification documentation and necessary application forms;
  • Maintain accurate client information, files/records, ensuring that clients are placed into a review system as agreed with the Adviser;
  • Prepare portfolio valuations as requested;
  • Process new business applications and fund switches;
  • Attend and contribute to regular update meetings with the Administration Team Manager
  • Project a professional image in both appearance and attitude and provide quality support on time to agreed standards;
  • Support the practice to ensure the end-to-end business process is adhered to and tracked efficiently in line with practice and regulatory standards;
  • Maintain technical competence at an appropriate level to meet the requirements of the role
  • Maintain a good working relationship with colleagues, clients and third parties.
  • You will have initial and ongoing training to learn new processes and skills, which would provide you with a solid foundation for career progression and your personal development.

You will be able to demonstrate exceptional administrative skills within financial services and possess the skills below:

  • Exceptional interpersonal skills, assertive whilst friendly with a professional demeanour.
  • Impeccable face-to-face and telephone client interaction skills and ability to build rapports swiftly with all manner of personalities.
  • Impeccable written communication skills.
  • Excellent organisation skills.
  • Excellent Microsoft Office skills, with an ability to adapt and learn the use of internal systems and databases.
  • Good at managing own workload and ability to prioritise tasks whilst retaining a high level of attention to detail in a fast-paced environment.
  • Good time management with the ability to multi-task and change focus throughout the day when necessary.
  • An ability to remain calm when faced with conflicting demands whilst demonstrating a positive attitude at all times.
  • Highly self-motivated, attentive and a can-do attitude.
  • A team player.

As you will have contact with clients in this IFA Administrator job, it is essential that you are professional and confident in dealing with third parties, have excellent communication skills and can work with total discretion.
