Conveyancing Executive

Location: Barry
Department: Conveyancing
Reports to: Partner / Senior Fee Earner

Job Purpose:

To provide high-quality legal and administrative support within a busy Conveyancing department, working closely with a team of fee earners, partners, and support staff. The role involves managing files from instruction through to post-completion, ensuring excellent client service throughout.

Key Responsibilities:

  • Client Communication:
    • Confidently handle telephone calls and take accurate messages.
    • Make outgoing calls as needed.
    • Proactively update clients, estate agents, and developers on case progress.
    • Attend client and developer meetings as required.
    • Deal with clients and third parties in person, by phone, and in writing.
  • Document Preparation & Management:
    • Draft and prepare legal documents and correspondence using Microsoft Word and the firms case management system.
    • Ensure accuracy and a high standard of presentation in all documents.
    • File opening, closing, and general file management using the case management system.
    • Order searches and prepare reports to lenders.
    • Prepare files for exchange and completion.
  • Post-Completion Duties:
    • Submit Land Transaction Tax or Stamp Duty Land Tax returns.
    • Handle Land Registry applications and any necessary follow-up.

Essential Skills & Experience:

  • Familiarity with Microsoft Office (Word, Outlook, Excel).
  • Experience using a case management system.
  • Strong organisational and file management skills.
  • Excellent written and verbal communication abilities.
  • Proactive attitude with a client-focused approach.
  • Ability to work both independently and as part of a team.
