HR Administrative Assistant

An exciting opportunity has arisen for an experienced HR Administrative Assistant to join a leading organisation based in Belfast

This is a Full-Time, Fixed-Term position initially for 12 months with the possibility of being extended/being made Permanent thereafter.

Working hours: Monday to Thursday: 8.50am – 5pm and Fridays: 8.50am – 4.25pm. (36.5 hours per week).

With an hourly rate of £13.08 per hour.

Start date: 1st June

Closing date: Monday 12th May 

A Basic Enhanced Check will be required.

Job Role:

You will be responsible for providing a comprehensive Human Resources (HR) administrative service. This will include processing confidential and sensitive information in relation to recruitment, attendance, payroll and general HR issues. You will maintain HR data on a Human Resource Information System providing accurate information and reports and participate fully in the support of the HR service for the business.

Essential Criteria:

  • At least 1 year’s recent administration experience working in an HR or training environment.
  • At least 5 GCSE passes or equivalent at Grade C or above, to include qualifications that demonstrate literacy/proficiency in English language and numeracy
  • Excellent IT skills, with demonstrable experience of using Microsoft Word, Excel and Outlook.
  • Excellent communication skills both written and verbal – with the ability to communicate with stakeholders at all levels.
  • Ability to manage and prioritise a busy workload while adhering to deadlines.
  • Ability to work on your own initiative as well as part of a team.
  • Ability to maintain confidentiality at all times.
  • Strong attention to detail ensuring high levels of accuracy.

Desirable Criteria:

  • Previous experience of using HR Information Systems and E-recruitment portals.

Main Duties and Responsibilities:

  • Support with all HR recruitment administration and adhere to all necessary timescales.
  • Assist with equality monitoring and annual statutory returns.
  • Support the on-boarding of new staff including system set up, the issue of contracts of employment and assist with probation documentation.
  • Assist in the organisation and administration of health and wellbeing activities and events.
  • Support the overall monthly HR/payroll administration and adhere to all necessary timescales.
  • Assist with finance/payroll queries on a monthly basis.
  • Enter all fit notes received in the HR Department on HRIS. To assist with updating and ensuring accurate employee records on the HRIS.
  • Make Occupational Health appointments for staff and assist with administration relating to such appointments.
  • Assist with the organization and administration associated with internal and external learning and development events, including sourcing quotations, booking rooms, hospitality etc.
  • Input learning and development records on HRIS and enter reminders on HRIS to ensure statutory training is undertaken within the required timescales.
  • To carry out a wide range of generalist administrative HR duties including calculating and administering annual leave, administering probationary and induction processes,
  • Maintain the HR inbox and follow up on routine correspondence.
  • Assist with general HR queries and escalate matters to the appropriate senior HR colleague, if required.
  • To provide minute taking for HR/employee relations meetings, as required.
