I am currently partnering with an education organisation based in West Bromwich who are looking for an Executive Assistant to join their team on a permanent basis.

About the Organisation

A respected organisation within the education sector, dedicated to providing high-quality learning environments and strong leadership support. The successful candidate will join a collaborative and professional central team, helping to drive operational efficiency across senior leadership functions.

Purpose of the Role

To provide high-level administrative and executive support to the Executive Team. The Executive Assistant will ensure smooth day-to-day operations of the Senior Leadership Team (SLT), including diary management, meeting coordination, document preparation, and stakeholder liaison.

Key Responsibilities

  1. Provide comprehensive executive support to the Executive Team, including confidential secretarial, clerical, and administrative duties.
  2. Manage and coordinate diaries, meetings, and event planning in collaboration with internal departments.
  3. Act as the first point of contact for internal and external stakeholders, handling queries independently where appropriate.
  4. Develop and maintain effective working relationships on behalf of the Executive Team.
  5. Prepare agendas, take accurate minutes, track actions, and distribute materials for meetings and committees.
  6. Organise room bookings, hospitality arrangements, and office supplies.
  7. Draft and produce high-quality reports, presentations, and correspondence.
  8. Provide support and occasional cover for the Senior Executive Assistant.
  9. Handle general office functions including procurement, invoice processing, and administrative support.
  10. Coordinate high-profile internal and external events alongside the Marketing function.
  11. Uphold organisational values in relation to safeguarding, health and safety, equality, and inclusion.
  12. Support whole-organisation activities such as enrolment, open days, and strategic planning.
  13. Stay informed on sector developments relevant to the post.
  14. Ensure a high level of confidentiality and discretion at all times.
  15. Promote a collaborative ‘One Team’ culture across the organisation.
  16. Provide a professional and courteous experience for all visitors, students, staff, and stakeholders.
  17. Collaborate with the Executive Office to deliver consistent and effective management support.
  18. Maintain effective electronic and paper-based record systems, driving digital efficiency.
  19. Prioritise and manage workloads, contributing to the continuous improvement of office operations.
  20. Identify and report risks in line with organisational risk management policies.
