Bell Cornwall Recruitment are delighted to be working with a multi-award winning B2B IT service based in Birmingham. They are looking for an Executive Assistant to support both their CEO and COO. This is a high-impact, critical position; you will be the executives' gatekeeper, organiser, and operational linchpin, directly enabling their ability to focus on revenue-generating activities and long-term strategy.

Duties and responsibilities of this Executive Assistant include (but are not limited to):

  • Dual Diary & Time Management: Masterfully manage and orchestrate the complex calendars/diaries for both the CEO and COO, strategically protecting their time and optimising scheduling for peak effectiveness. Proactively resolve conflicts and ensure comprehensive preparation for all engagements.
  • Gatekeeping & Communication Hub: Act as the professional first point of contact for all internal and external stakeholders. Confidently manage the executives' inboxes and correspondence, drafting responses and triaging communications to ensure only priority items reach the CEO/COO.
  • Board & Meeting Secretariat: Provide high-level support for Board Meetings, leadership offsites, and key management meetings. Responsibilities include preparing agendas, collating and distributing detailed briefing packs, attending, taking accurate minutes, and rigorously tracking follow-up actions to completion.
  • Project & Task Ownership: Own the follow-up process for all executive actions, ensuring deadlines are met and delegated tasks are tracked across departments. You will frequently be required to manage small-to-medium-sized projects on behalf of the executives.
  • Travel & Logistics: Co-ordinate complex national and international travel itineraries, including flights, accommodation, and detailed logistics. Crucially, you must be willing and able to travel occasionally (both UK and internationally) to support the executives during critical meetings or events (this is likely to be 2-4 times a year at most).


The ideal candidate:

  • Senior Executive Support: Demonstrable, significant experience (ideally 3+ years) as an Executive Assistant or Personal Assistant supporting multiple C-Level Executives simultaneously in a demanding, fast-paced environment.
  • Experience within the software as a service (SaaS) or Tech/Growth sector is ESSENTIAL.
  • Technical proficiency: Advanced knowledge of Google Workspace and familiarity with (url removed) or other project management platforms (e.g., Asana or Trello).
  • High Business Acumen: An ability to quickly grasp the company's business model (SaaS/B2B support) and understand the executives' strategic priorities.
  • Organisational Mastery & Prioritisation: Exceptional organisational and time management skills; you must be able to juggle competing priorities from two leaders and maintain flawless attention to detail under pressure.
