We are seeking a highly organised and proactive Team Assistant to join our respected law firm. This vital role provides comprehensive administrative and file management support across legal teams. The ideal candidate will establish and maintain strong service-based relationships, translating team needs into responsive, efficient support services.

Key Responsibilities

The Team Assistant role involves a wide range of administrative duties including:

  • Working closely with Legal PAs to provide client and marketing support through scheduling tender meetings, directory interviews, and client training sessions.
  • Maintaining accurate client database information by entering new prospects, contacts, and business development activities into our Interaction system.
  • Managing comprehensive file administration - maintaining both electronic and paper files according to business-wide naming conventions and folder structures.
  • Handling complete file lifecycle management including opening matters on relevant document/case management systems and compliance.
  • Supporting event organisation including arranging registrations, booking travel, preparing materials, and coordinating promotional items.
  • Providing administrative assistance through room and taxi bookings, courier arrangements, document processing, and managing ad hoc requests.
  • Assisting with various financial administration tasks including billing support and expense processing.
  • Producing court bundles in accordance with lawyer instructions and court rules, coordinating with document solutions for printing/copying needs.
  • Managing correspondence by checking post/emails and properly filing client-related communications in document management systems.
  • Attending team meetings and maintaining open communication with fee earners and practice assistants regarding work requirements.

Qualifications & Skills

Applicants will have previous office based experience in a similar role and be keen to work for a law firm and progress into a Legal PA role perhaps.
