The Role:

We are seeking a highly efficient and professional Personal Assistant to provide comprehensive administrative and secretarial support to our Headteacher. This is a pivotal role within the school, requiring discretion, initiative, and excellent interpersonal skills. You will be the first point of contact for many stakeholders and will play a key part in the smooth and effective operation of the Headteacher's office and the wider school.

Key Responsibilities:

  • Manage the Headteacher's diary, schedule appointments, and coordinate meetings efficiently.
  • Act as the first point of contact for internal and external stakeholders, handling enquiries with professionalism and discretion via phone, email, and in person.
  • Prepare correspondence, reports, presentations, and other documents using Microsoft Office Suite (Word, Excel, PowerPoint), ensuring accuracy and timely distribution.
  • Manage incoming and outgoing mail and emails (including Gmail), prioritising and responding appropriately.
  • Coordinate travel arrangements and accommodation as required.
  • Assist with the preparation of agendas and minutes for meetings (including those held via Google Meet), ensuring follow-up actions are tracked using tools like Google Tasks.
  • Liaise effectively with staff, students, parents, governors, and external agencies.
  • Assist with school events and projects as required, potentially using Google Calendar for scheduling and collaboration.
  • Manage office supplies and ensure the smooth running of the Headteacher's office.
  • Undertake other administrative tasks as required by the Headteacher.

About You:

  • Proven experience as a Personal Assistant, ideally within an educational setting or a similarly demanding environment.
  • Exceptional organisational and time management skills, with the ability to prioritise tasks and meet deadlines effectively.
  • Strong IT skills, including advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and familiarity with Google Workspace (Gmail, Google Calendar, Google Drive, Google Docs, Google Sheets).
  • Ability to work independently, take initiative, and exercise sound judgement.
  • Discretion and the ability to handle confidential information with sensitivity.
  • A proactive and flexible approach to work.
  • A genuine commitment to supporting the Headteacher and the wider school community.

Desirable:

  • Experience working within the UK education system.
  • Familiarity with school administration procedures and relevant software.
  • Proficiency in using Google Workspace for collaboration and organisation.
  • Experience managing social media accounts or website updates (beneficial for school communication).
  • First Aid certification.

Location: Blackburn, Lancashire

Contract Type: Permanent.

Salary: Up to £36k (NEG).

Start Date: May 2025 or sooner.
