Overview:
A unique and highly demanding opportunity has arisen for an experienced, highly proactive Admin Lead Manager to support a high-net-worth individual (HNWI) across both international business and personal domains. In addition to providing dedicated 1:1 support, the successful candidate will also be responsible for leading and overseeing a team of administrative professionals, ensuring seamless coordination and exceptional standards of service delivery across the board.
This is a fast-paced, dynamic role that will require international travel, operational flexibility, and the ability to manage across multiple time zones with discretion and resilience.
Responsibilities:
- Oversee, mentor, and coordinate a high-performing team of administrative staff across global locations.
- Allocate tasks, monitor performance, and ensure effective workload management within the team.
- Lead by example, fostering a culture of professionalism, accountability, and service excellence.
- Identify process improvement opportunities and implement best practices across administrative functions.
- Act as a trusted gatekeeper, maintaining discretion and professional communication on behalf of the principal.
- Coordinate business meetings, agendas, and ensure all documentation and briefings are prepared.
- Support the principal in commercial and strategic projects through research and reporting as needed.
- Plan and manage complex travel itineraries for the principal, their family, and support personnel (private and commercial flights, visas, ground transport, accommodation).
- Ensure meticulous travel planning with contingencies for last-minute changes.
- Accompany the principal on global travel where required, providing logistical and operational support throughout.
Person Specification:
- Proven experience as a senior Executive Assistant or Chief of Staff supporting a HNWI or C-level executive.
- Strong team management or supervisory experience within an administrative or operational environment.
- Demonstrated ability to manage international travel and cross-border logistics in fast-paced, high-pressure situations.
- Willingness to travel internationally, often at short notice, and for extended periods.
- Exceptional organisational and multitasking abilities.
- High integrity, confidentiality, and professional maturity.
- Strong interpersonal and diplomatic skills with the ability to liaise across all levels.
- Willingness to work evenings, weekends, and irregular hours as required.
- in Microsoft Office Suite, Google Workspace, and travel management platforms (e.g., TripIt, Concur).
