Job Purpose

We are currently recruiting for a Lettings Administrator to support a busy Allocations and Lettings team within a well-established housing provider. This role plays a vital part in managing mutual exchange and lettings administration processes, helping to ensure high-quality service delivery and compliance with key procedures and housing standards.

This opportunity is ideal for a highly organised individual with strong communication and administration skills, particularly within a housing or public-sector setting.

Key Responsibilities:
  • Provide day-to-day administrative support to the Lettings and Allocations team, including processing mutual exchange applications.
  • Liaise with tenants, housing officers, and partner organisations to ensure applications and documents are completed within target timescales.
  • Conduct checks on tenants and properties, ensuring legal and health & safety compliance (e.g. gas and electrical certifications).
  • Support the preparation of sign-up packs and tenancy documentation.
  • Accurately input and maintain customer records in housing management systems and electronic filing systems.
  • Promote mutual exchange opportunities and assist residents with transfers or moves.
  • Coordinate with internal departments such as repairs, tenancy, and income management to ensure a smooth lettings process.
  • Monitor CORE data and compile monthly reporting on lettings activity.
  • Support with managing garage waiting lists and related lettings.
Candidate Profile
  • Strong background in administrative support, ideally in housing or the public sector.
  • Excellent customer service skills with experience liaising with tenants and stakeholders.
  • Confidence using IT systems and Microsoft Office (Word, Excel, Outlook).
  • Strong organisational skills, accuracy, and attention to detail.
  • Ability to work independently, use initiative, and manage competing priorities.
  • Knowledge of mutual exchanges, allocations, and tenancy-related processes.
  • Clear verbal and written communication skills.
  • Experience of note-taking and producing reports.
  • Knowledge of safeguarding and resident-related concerns.
  • Access to a car and a full clean driving licence (some travel may be required).
