Facilities Co-Ordinator

JS legal Recruitment are excited to be working with one of the leading regional Legal 500 Law firms with multiple offices across Essex. Due to continued growth my client is recruiting for an experienced Facilities Co-Ordinator. You will contribute to the efficient operations of their offices by providing a comprehensive service to both external and internal client.

The Role

  • Coordinate the facilities for the firm across four offices
  • Arrange for regular maintenance of equipment and internal systems (e.g. heating systems , alarms ,security cameras)
  • Keep track of regular and ad-hoc facility expenses
  • Assist the HR Manager with managing facilities budgets
  • Liaising with contracts and Suppliers
  • Ordering office equipment
  • Assist with team moves and office relocations
  • Manage the stock of office , stationary and kitchen supplies
  • Liaising and coordinating with external contractors and suppliers
  • Compare costs and benefits when evaluating new suppliers
  • Maintain an update contacts list of external suppliers
  • Ensure compliance with health and safety regulations and fire safety including weekly alarm testing
  • Attend the office out of hours on an ad hoc basis when services cannot be completed during office hours

The Candidate

  • Previous facilities coordination experience desirable within a Law firm or professional services environment
  • Understanding of safety regulations in offices
  • Excellent written and verbal communication skills essential
  • Excellent organisation and time management
  • High sense of urgency and ability to work to deadlines
  • Must be able to remain calm under pressure
  • A pro- active ,professional and friendly attitude
  • Be comfortable in dealing with staff at all levels
  • Hours Monday - Friday 9.00am - 5.00pm
