About Us:

WH Bence is a leading specialist in designing and manufacturing transportable solutions for the Medical, Emergency Services, and Hospitality sectors.

We build mobile units for the NHS and private healthcare providers, including Breast Screening Clinics, MRI and CT units. We also supply Emergency Services with Command Centres, Fire Appliances, and Incident Welfare Units. Our bespoke projects range from hospitality trailers to race car transporters and mobile solutions for private and corporate clients.

As a family-owned business with over 40 years of industry experience, we pride ourselves on our close-knit team culture and high standards. We’re now on the lookout for a proactive and organised Service Administrator to support our Service and Transport Team.

This is a great opportunity to play a key role in helping us maintain and manage our fleet of specialist vehicles across the UK.

Service Administrator – Key Responsibilities:

In this role, you’ll be responsible for coordinating the day-to-day operations of our service and maintenance function. This includes:

- Handling service calls, including breakdowns and scheduling third-party engineer visits

- Liaising with customers to arrange site visits and servicing schedules

- Coordinating routine servicing, both onsite and at our facility, by working closely with our transport team and clients

- Booking accommodation and making travel arrangements for service engineers

- Managing the on-call rota and keeping the holiday planner up to date to ensure engineer coverage

- Preparing quotes for chargeable work and ordering parts as needed

- Sending service reports and updates to customers

- Monitoring and updating our internal service ticketing system

- Providing general administrative support across the Service and Transport departments, particularly during holiday periods

Service Administrator - About You:

To thrive in this role, you’ll need to be a confident communicator, highly organised, and enjoy working in a fast-paced environment.

We’re looking for someone who has:

- Previous experience in a similar administrative or service coordination role (preferred)

- Excellent communication skills, both written and verbal

- A proactive and problem-solving attitude

- Strong organisational skills and attention to detail

- Good working knowledge of Microsoft Outlook, Word, and especially Excel

- A flexible, team-focused approach and willingness to take on new challenges
