Reed have partnered with a market leading property business who are seeking a versatile Office Administrator to join their team in their new offices located in Clifton, Bristol.

This role is perfect for someone who thrives in a multifaceted position, encompassing administrative duties, basic finance and bookkeeping, office management, and secretarial responsibilities. The successful candidate will also handle front of house duties, reception, and call handling, ensuring the smooth operation of our office environment.

Working hours:

Monday to Friday, 8:00am – 4:30pm, 8:30am – 5:00pm or 9:00am – 5:30pm

Day-to-day of the role:

  • Perform administrative and secretarial support to the Director and two senior leadership members, managing schedules, diary management and coordinating meetings.
  • Handle front of house duties, including reception, call handling, and greeting visitors to ensure a professional image is maintained.
  • Manage office refreshments and facilities, ensuring the office environment is welcoming and well-maintained.
  • Oversee basic finance and bookkeeping tasks using QuickBooks, focusing on VAT duties, processing invoices, and preparing profit and loss monthly reports.
  • Utilise Excel for data management and reporting, ensuring accurate and timely information is available.
  • Coordinate office management tasks, including ordering supplies, managing office equipment, and liaising with vendors.
  • Ensure compliance with health and safety regulations within the office environment.

Required Skills & Qualifications:

  • Proven experience in an office admin or management role or similar, ideally within a fast-paced environment.
  • Strong organisational and time management skills, with the ability to prioritise tasks effectively.
  • Experience with financial processes and bookkeeping, including proficiency in QuickBooks (advantageous but are happy to put you on a course to learn this software)
  • Strong skills in Microsoft Excel and other MS Office applications would be beneficial.
  • Excellent communication and interpersonal skills, capable of maintaining strong relationships.
  • Professional and polished demeanour, with experience handling front of house responsibilities.
  • Ability to handle confidential information with discretion.
