My global client have a professional corporate office based in the centre of Bristol. They are looking for an Office Manager to actively deliver a First-Class Workplace experience for clients and colleagues within the offices across their internal office floors. The role is critical in ensuring that Workplace standards are upheld and that their service partners are also delivering what is expected and resolving issues in a timely manner. The role is also expected to help support the senior management team for UK&I compliance, governance, administration and audit support.

Key Responsibilities include;

  • Undertake reception duties e.g. booking & managing meeting rooms, welcome & escort visitors (book/ check them in), hospitality, general Front of House admin etc
  • Log any faults or issues with the company Helpdesk.
  • Track & manage all open jobs on FAMIS 360 through to final completion.
  • Quality check paperwork to ensure compliance and audit satisfaction.
  • Ensure excellent communication by attending operational meetings with the team.
  • Ensure all systems are maintained and updated to ensure we remain compliant.
  • Day to day interaction with contractors and 3rd party suppliers, to enable delivery of service.
  • Ensure all contractors are inducted into the building before works start.
  • Co-ordinate catering team and oversee events.
  • Delivery of post and organisation of couriers.
  • Stock control
  • Sort mail by department and deliver/collect and deliver to appropriate collection point.
  • Attendance for all supplier meetings for national contract meetings - will be involved in ensuring actions are accurately tracked and closed for all UK&I contracts.
  • Responsibility for the accurate tracking and closure of all reactive jobs and PPM tasks.
  • Support the management team on external accreditation audits (ISO14001 and ISO45001 audits) - spot checking of site documentation and site checks throughout the year.
