Operations Co-ordinator

Location: Cambridge
Contract: 6 months – with the look for Temp to Perm
Rate: £18.29 hour PAYE

Purpose of the Role

As an Operations Co-ordinator for the Defence and Systems UK Operations team, you’ll play a key role in supporting the Operations Management team and acting as a central point of contact for information, system administration, and coordination across Operational Delivery Teams.

You’ll take ownership of onboarding, support production managers with scheduling and financial reporting, and ensure smooth day-to-day operations — helping to keep people, processes, and reporting aligned.

Key Responsibilities

  • Onboarding: Own and manage the onboarding process for new starters, ensuring smooth tracking, task management, and candidate experience.
  • Production Support: Work with Production Managers on schedule reporting, financial performance tracking, and resource planning.
  • Finance & Time Booking: Support financial governance of production hours, liaise with Finance, and resolve time booking/clocking issues.
  • Employee Support: Collaborate with HR and Payroll on sickness absence, pay, terms & conditions, and wellbeing initiatives.
  • Training: Coordinate training requirements (including H&S compliance), track budgets, and manage training schedules with providers.
  • Reporting: Produce daily, weekly, and ad hoc reports on production, time booking, and operational status.
  • Operations Administration: Manage SharePoint workspaces, documentation, leave/absence admin, travel coordination, and meeting support (minutes, agendas, logistics).
  • Process Improvement: Support Operations Managers with accurate role profiles, skills assessments, and training needs analysis.

Skills & Competencies

  • Highly organised with strong attention to detail
  • Advanced IT literacy (MS Office, reporting systems, SharePoint)
  • Able to manage conflicting priorities and meet deadlines
  • Confident communicator across all levels (verbal and written)
  • Strong stakeholder management and collaborative working style
  • Awareness of budget control, cost centres, and H&S policies

Experience & Background

  • Previous experience in an operations, coordination, or administration role
  • Proven ability to manage multiple priorities in a fast-paced environment
  • Experience working with cross-functional teams (Operations, HR, Finance, Payroll, etc.)
  • Experience with data reporting and systems administration

Education

  • A-Level or vocational qualification (degree desirable)
  • Equivalent experience will be considered
