Four Squared Recruitment are working on behalf of a well-established and growing property development and management business based in Cheltenham. As their projects continue to expand, they are seeking an organised, detail-oriented, and technically skilled Secretary / Project Support Specialist to support their team.Role OverviewThis is a pivotal position for someone who thrives in a busy, professional environment, combining strong administrative abilities with project coordination support. You’ll be responsible for supporting the smooth day-to-day running of operations, with a particular focus on transcription, document management, and project progress tracking.We’re looking for someone with previous experience in a construction, property, or architectural setting who is confident dealing with drawings, planning documentation, and multi-stakeholder coordination.Key Responsibilities
  • Dictation & Transcription – Transcribe audio dictation, notes, and meeting minutes into well-formatted documents quickly and accurately.
  • Document Preparation – Draft and format professional correspondence, reports, and documentation.
  • Data & File Management – Maintain clear, up-to-date records and organised project documentation (both digital and hard copy).
  • Spreadsheet Management – Build and maintain spreadsheets to monitor project milestones, deadlines, and deliverables.
  • Project Coordination – Track planning project progress and support the team to ensure all targets and timelines are met.
  • Stakeholder Liaison – Act as a central communication point between internal teams, clients, and third-party partners.
  • Administrative Support – Diary management, scheduling meetings, and coordinating appointments for senior staff.
  • Drawing & Document Handling – Manage files, plans, and architectural drawings in a structured and accessible way.
What We’re Looking For
  • Typing & Transcription Expertise – High typing speed and proven experience with transcription and dictation.
  • Microsoft Office Proficiency – Strong skills across the Microsoft Suite, especially Excel, Word, PowerPoint, SharePoint.
  • Excel Fluency – Confident building spreadsheets and tracking workflows with formulas, tables, and status indicators.
  • Strong Organisational Skills – Able to manage multiple tasks under pressure with excellent attention to detail.
  • Excellent Communication – Clear and professional in both written and verbal communication.
  • Relevant Industry Experience – Background in construction, architecture, or property management is essential.
  • Technical Knowledge – Comfortable reading architectural drawings and understanding project planning workflows.
  • Driving License & Own Transport – Due to location and nature of the work, this is essential.
