Our client is seeking a proactive and personable Office Assistant / Receptionist to ensure the smooth running of their offices and deliver a welcoming front-of-house experience. This dual-location role combines reception duties with hands-on office support, helping maintain a productive and professional workplace environment.

As the first point of contact for visitors and callers, you will play a key part in creating a positive experience while also providing vital behind-the-scenes support to the wider team.

Key Responsibilities:

  • Greet visitors warmly and ensure a professional, friendly experience
  • Answer and direct incoming calls promptly and courteously
  • Take accurate messages and deliver them quickly to the appropriate team members
  • Maintain a clean, welcoming reception area and meeting rooms
  • Assist with refreshments and hospitality when required
  • Handle ID checks and documentation in accordance with company policy
  • Sort, distribute and manage incoming and outgoing mail and deliveries
  • Organise archiving of documents and manage storage records
  • Photocopy and prepare documentation, often to tight deadlines
  • Monitor and restock office supplies and stationery
  • Run occasional errands and support ad hoc administrative tasks
  • Provide basic IT and typing support where needed
  • Offer assistance across departments as required
  • Maintain confidentiality and act with discretion at all times
  • Demonstrate a positive and team-oriented attitude
  • Uphold professional and customer-focused standards consistently

Experience and Skills Requirements:

  • GCSE (or equivalent) in English and Maths (Grade A*-C / 9-4)
  • Previous experience in a reception, customer service or office support role
  • Professional telephone manner and excellent communication skills
  • Friendly, approachable, and client-focused attitude
  • Ability to prioritise and stay organised under pressure
  • Able to work independently and show initiative
  • Presentable and well-groomed with a professional appearance
  • Comfortable with light physical tasks (e.g. lifting boxes, files)
  • Proficient in using standard IT and office software
  • Reliable, discreet, and committed to maintaining confidentiality
  • Willing to learn, adapt and support others
