Service & Aftersales Administrator  

Salary: £26,000 - £32,000 DOE

Days – Monday to Friday with early finish on a Friday!

Our client is currently looking for a Service & Aftersales Administrator who will be responsible for the service schedule administration and coordination of all aftersales activities.

This will include customer communication, managing service repair schedules and records, importation and subsequent re-exportation of customers products, together with picking, packing and shipment of spare parts.

Key responsibilities and accountabilities:

  • Managing the process of warranty and non-warranty returns.
  • Scheduling of laser systems for both assessment and any required repairs.
  • Liaising with customers, suppliers, freight forwarders and couriers to arrange UK and Worldwide importation and re-exportation of customer laser systems.
  • Prepare accurate shipping documentation, provision of clearance instructions and population of the company internal import/export register.
  • To keep customers updated and inform of any changes to repair requirements or dates.
  • To ensure that all reports and assessments are completed and stored on CRM for all repairs.
  • To manage the engineers’ diary schedule.
  • Monitoring and routing email queries to ensure that they are dealt with in a timely manner.
  • Recording customer enquires using the SAGE CRM system and progressing cases through to completion.
  • Updating non-conformity reports.
  • Prepare quotations for post sales enquires including service visits, spare parts, and service repairs.
  • Liaise with Stores and Procurement to ensure availability of spare parts.
  • Processing spare parts orders by entering sales orders, sending sales order acknowledgments, arrangement shipment, and invoicing.
  • Produce internal service related and spare parts sales related reports.
  • Organise customer service visits and training.
  • Responsible for all company travel arrangements including company travel visas, booking flights, hotels, taxis and hire cars.
  • Ad hoc duties and dealing with telephone calls.

Work safely and minimise risk in engineering construction

Work safely at all times, complying with health and safety and other relevant regulations and guidelines.

  • Correctly instruct, supervise and transfer skills to any apprentice and semi-skilled led worker assigned to you to ensure safety and quality of work.
  • Safety when using Company products at all times.
  • Use safety equipment, PPE and protective devices and equipment
