Role purpose and role dimensions
The Executive Officer to the Corporate Director role plays a significant part in the delivery of the corporate and directorate priorities and in supporting the Corporate Director in their day-to-day work. They will directly support two members of our Corporate Management Team, the Corporate Director of Housing and the Corporate Director of Children & Education
The role requires a clear and in depth understanding of Council activity in order to effectively deliver and coordinate work across a range of teams and stakeholders. The post holder will also have a critical role in supporting the corporate director in decision-making process, anticipating issues before they arise, developing solutions and actions and escalating to senior officers where necessary.
Main duties and responsibilities:
- Co-ordinate team documents for CMT and DMT meetings.
- Taking minutes of meetings and providing updates to the Chief Executive and Corporate Director when they are deputising at meetings
- Ensure the office of the Corporate Director has sufficient support at all times
- Management/ownership of the diary of the Corporate Director, including diary management activities, scheduling, co-ordinating meeting requirements with internal and external stakeholders and taking decisions without reference.
- Undertake special projects as determined by CD ie leading on preparation for inspections, organising events, assist in the collation of data
- Reviewing internal and external communications for the Chief Executive and Corporate Director, preparing presentations and drafting the content for speeches
- Helping to manage complaints from the public, ensuring responses are sent and carrying out information management duties such as Freedom of Information (FOI) requests.
- Overseeing and servicing the requirements of the key stakeholder meetings, creating action plans for continuous improvement and ensuring actions are completed across the directorate.
Essential Knowledge
- Wide ranging and detailed knowledge of Council activity and other relevant public bodies including the current challenges facing Croydon Council and the wider Public Sector
- Excellent understanding of the Council's vision, governance, objectives, strategies and policies
Essential experience of
- operating in a busy, demanding, complex and political environment
- working with and/or providing advice or recommendations to a senior leader
- collating complex reports presentations and /or briefings in a concise and accessible manner
- working effectively in a team including in a working group with multiple services represented
