Confident Service Co-ordinator/Scheduler to work in a busy service office communicating with all customers, suppliers, engineers, visitors and enquirers

Main responsibilities will be to:

  • Manage job completion, from raising job numbers to invoicing
  • Management of work in progress to ensure jobs are completed and invoiced in a timely manner and in accordance with any customer KPI's
  • Keeping engineering schedule up to date
  • Working with other Service Co-ordinators when scheduling works
  • Maintaining regular communication with customers
  • Review and sign off of quotations including new quotations and engineer’s recommendations
  • Liaising with stores to obtain prices for parts and subcontractors.
  • Monitoring quotation overview is correct and up to date, including hyperlinks, results, cost and revisions are accurate and correct
  • Carry out regular analysis of quotation performance
  • Preparation, review and sign off of invoices
  • Checking job profitability
  • Monitoring customer contracts are up to date
  • Monitor standardisation of department diaries
  • Issue weekly PPM Schedules
  • Monthly valuation reports
  • Ensuring Customer Data Base are kept up to date
  • Responsible for all asset list updating
  • Invoice matching

Key skills needed to complete the role will be:

  • Minimum of 3 years experience in administration
  • Exceptional organisational skills and proven ability to use initiative
  • Excellent knowledge of IT systems (MS Office - Word, Excel, PowerPoint, Outlook & Siclops) and administrative procedures
  • Able to manage time effectively in the face of conflicting priorities and time scales and can be relied on to deliver their objectives
  • Excellent communication skills – written and verbal
  • Office based role - No Hybrid 
  • Full-time, Permanent, Monday to Friday
  • At least 3 years, preferably with some in the FM Industry

Salary: £28,300.00-£30,400.00 per year
