Probate Administrator,Salary - £25,000 - £30,000 DOE,Location - Dinnington, South Yorkshire,Contract - Full time, PermanentWe are seeking an experienced and detail-oriented Legal Secretary to provide vital support to the Partners within our firm. This is a key role in ensuring the smooth delivery of legal services, particularly within our Wills & Probate practice. Key Responsibilities

As a Legal Secretary, your day-to-day will include a broad range of tasks, all essential to the effective operation of our legal team:

  • Document Preparation & Transcription: Accurately transcribe legal documents from handwritten notes and audio dictation. Timely and precise completion is essential.
  • Legal Drafting: Prepare legal correspondence, contracts, and agreements, ensuring documents are clear, professional, and compliant with legal standards.
  • Client & Witness Statements: Collect, verify, and prepare statements to support legal proceedings, maintaining accuracy and attention to detail.
  • Medical Record Summaries: Review and summarise medical documentation where relevant, providing concise insights for casework.
  • Correspondence Management: Handle incoming and outgoing communications across email, phone, and post, acting as a professional first point of contact for clients and external parties.
  • Client Liaison: Maintain regular, courteous contact with clients, updating them on case progress and addressing inquiries efficiently.
  • Call Handling: Screen, direct, and record incoming calls, ensuring all messages and queries are appropriately managed.
  • File Management: Organise and maintain physical and digital files, ensuring secure, accurate, and accessible document storage.
  • Diary Coordination: Manage calendars and schedule meetings for the legal team, ensuring appointments are efficiently arranged.
  • Administrative Support: Assist with general office duties, including preparing reports, supporting casework, and other administrative tasks as needed.
  • Court Bundle Preparation: Compile and organise court bundles, ensuring all necessary documentation is included and ready for use.
About You - Skills & Experience

To succeed in this role, you'll bring:

  • Legal Secretary Experience: Proven experience in a legal secretary role, ideally within Wills & Probate or a related legal area.
  • Typing Proficiency: Fast, accurate typing and excellent transcription skills, with a strong eye for detail.
  • IT Skills: Advanced Microsoft Office skills, particularly in Word, Excel, and Outlook.
  • Attention to Detail: High standards for accuracy in document creation, communication, and data management.
  • Organisational Strength: Strong ability to multitask, manage competing priorities, and keep everything running smoothly.
  • Professional Communication: Clear, confident, and courteous communication skills, both written and verbal.
