Facilities Co-ordinator

Location: Office based - Dover 

Salary: Annual = £20,280.00. Hourly = £13.00 PH 

Shift pattern: Monday - friday ( 30 hours per week ) 

Contract length: 12 Months 

Main Purpose of the Role:

To provide administrative support to the Facilities Function.

Key Responsibilities:

  • Process payments and validate invoices for all utilities for Dover Properties.
  • Administer post room services, including cost allocation of courier services and resolving related issues.
  • Act as lead for all post room activities and queries, liaising with courier companies on contracts and supplies for the franking machine.
  • Administer Building Services Contracts for Dover, working with procurement for tendering requirements.
  • Monitor notice periods on all service contracts to serve notice for retendering and cost efficiencies.
  • Administer Engineering Surveys for Dover using an online engineering portal, updating remedial actions and following up on non-compliance issues.
  • Source, negotiate, and order goods/services for Dover Facilities.
  • Process and receipt orders on CODA, approximately 1200 per annum.
  • Coordinate and track all Building services documentation, including PPM and reactive worksheets, and upload to SharePoint for compliance and statistical analysis.
  • Maintain an up-to-date register of insurance details for current contractors, ensuring minimum indemnity limits are met.
  • Arrange service visits with contractors, requesting RAMS and passing them to line management for authorization.
  • Liaise with DHB to arrange contractor visits to the Port and apply for work permits if required.
  • Assist the FM manager with any ad-hoc projects.
