Formalities Officer – Remote

A leading intellectual property firm with a strong European presence is seeking a Patent Formalities Officer to join its national formalities team. The firm is known for its supportive culture, high-quality client work and commitment to flexible working. Its Newcastle-based Attorneys work with a diverse client base ranging from major international businesses to innovative start-ups, with a focus on complex, deadline-driven patent matters.

This is a great opportunity for a Formalities Professional looking for a role that combines responsibility, variety and flexibility. You’ll be part of a well-regarded formalities team, providing essential support across the patent filing and prosecution lifecycle. The role is offered on a remote basis with just one day per month required in the office, making it well suited to candidates based in or within commuting distance of major Northern cities.

Key responsibilities:

  • Administering the filing and prosecution of UK, EP, PCT and national patent applications
  • Ensuring accuracy and compliance with legal requirements and deadlines
  • Preparing, executing and (where needed) legalising documentation for filings and registrations
  • Liaising with attorneys and stakeholders to progress tasks and maintain case momentum
  • Managing deadlines using a computerised IP management system and maintaining accurate records
  • Preparing standard correspondence to clients and patent offices
  • Supporting improvements to internal practices and procedures in collaboration with attorneys
  • Coordinating with the Renewals team on patent maintenance

Requirements:

  • Previous experience in a patent formalities or IP support role
  • Strong working knowledge of patent procedures in the UK, Europe and internationally
  • High level of accuracy and attention to detail
  • Excellent time management and communication skills
  • Comfortable working to tight deadlines in a process-driven environment
  • Experience with IP management systems (eg Inprotech or similar) is desirable
