We are seeking a proactive and professional Administrator with Front of House and facilities experience to ensure the smooth and efficient running of our Edinburgh office. As the first point of contact for staff, clients, and visitors, you will play a vital role in maintaining a welcoming, organised, and service-oriented environment. This is a dynamic and varied role, ideal for someone who thrives on delivering high standards, staying organised, and supporting both in-person and remote colleagues.
Administrator and Reception:
- Provide a warm and professional welcome to clients and visitors.
- Answer and manage calls, emails, and meeting room bookings efficiently.
- Coordinate meeting room setup, catering requests, and visitor support.
- Maintain clean, tidy, and well-stocked front-of-house and kitchen areas.
- Manage mail, deliveries, and internal shipments, including international courier services.
- Maintain stock levels and place orders for groceries, office supplies, and event materials.
- Monitor expenses, supplier costs, and ensure efficient purchasing practices.
Facilities & Technology Support:
- Support video conferencing and webinar setups, liaising with internal and external stakeholders.
- Perform AV testing and basic troubleshooting, escalating to IT as needed.
- Coordinate contractor visits and report maintenance issues to the Office Manager.
Event Coordination:
- Assist with the planning and delivery of staff and client events, from catering to logistics.
- Organise social events and support all aspects of event execution.
