We require a Secretariat Personal Assistant to cover an existing workload within ACRO Criminal Records Office, based near Fareham (Office based).
This is an interim position for an initial 6 months with the potential to be extended, dependent on workload.
Job Purpose:
- To carry out a range of typing and word-processing tasks. The documents to be produced may be in the format of letters, statements, short or lengthy reports, confidential documents, word processor generated charts and graphics
- To use, maintain and update a variety of indices and record-keeping systems.
- Deal with all correspondence received, using the postholder’s judgement as to which items may be dealt with personally and which need to be referred to a Senior Manager, Deputy Manager or other staff member.
- Where correspondence is dealt with directly by the postholder, use initiative to research the appropriate files and produce a response which is accurate, articulate and prompt.
- To take minutes at meetings, as required, producing a final typed transcript which is articulate and accurate.
- To organise conferences, as required, dealing with all related administrative tasks.
- To accompany Senior Managers in the capacity of Personal Assistant on work assignments at locations other than ACRO.
- Maintain the diary appointment system and organise all related travel arrangements.
- At the instigation of the Senior Manager, produce well researched, accurate reports on appropriate issues (commendations, budgets etc).
- Manage and deal accordingly with all travel requests received from ACRO, NWCU or NaVCIS.
- Ensure that all correspondence of a highly confidential and/or restricted nature is dealt with sensitively and expeditiously.
Skills and experience needed to be successful in this role:
- Extensive secretarial or administrative experience in a responsible position calling for use of complex record keeping systems.
- Experience of working with Senior Managers.
- Extensive experience of typing/word processing/Microsoft Office applications and proficient in document layout.
- Analytical work and report writing.
- Familiar with police organisation and structure.
