Workforce Planner – 12-Month Contract
Location: Edinburgh

We’re currently seeking a highly organised and proactive Workforce Planner for a key contract based in Edinburgh. This is a fantastic opportunity to take ownership of the day-to-day logistics planning of a busy technical workforce, ensuring seamless delivery of services to the highest standard.

As Workforce Planner, you’ll play a critical role in supporting operational teams by optimising engineer schedules, tracking job progression, and ensuring service level agreements (SLAs) are met. You’ll need to thrive in a fast-paced environment and bring strong planning, communication, and problem-solving skills to the table.

Key Responsibilities:

  • Allocate reactive, planned, and statutory tasks based on location, skillset, and priority.
  • Live-monitor job progress, addressing any scheduling issues promptly.
  • Track performance trends via Power BI dashboards, flagging underperformance where needed.
  • Maximise direct labour utilisation and identify resource gaps or mitigations.
  • Provide clear updates and quality-check all job data and paperwork.
  • Support subcontractor scheduling and ensure tasks are delivered within contractual SLAs/KPIs.
  • Take part in labour planning meetings and contribute to contract reporting.
  • Liaise with technical teams, supervisors, and clients to ensure smooth operations and clear communication.
  • Manage workloads and deadlines effectively while maintaining high attention to detail.

What You’ll Bring:

  • Proven workforce or logistics planning experience, ideally in a facilities or healthcare environment.
  • Familiarity with CAFM systems and strong IT skills across Microsoft Office tools.
  • Ability to manage multiple priorities and make informed, proactive decisions.
  • A collaborative mindset, with confidence in liaising with colleagues at all levels.
  • Strong organisational, analytical, and communication skills.
  • Experience with purchase order processes and data accuracy in timekeeping systems.
