Role Overview

My client are seeking a proactive and detail-oriented Document Controller to support their project delivery teams by maintaining robust document control processes and leveraging project data for decision-making. The ideal candidate will be a self-starter with strong IT skills, particularly in MS Excel and Dalux, and will play a key role in ensuring operational efficiency and compliance.

  Key Responsibilities System Coordination
  • Collaborate with stakeholders to define system and operational requirements

  • Document workflows, data flows, decision points, and integration with other systems

  • Provide system support including training, resource allocation, and issue resolution

Project Support & Data Management
  • Offer analytical support to project teams, enhancing administrative workflows

  • Manage and process contractor timesheets with accuracy

  • Coordinate and conduct site inductions for new staff and contractors

  • Analyse project data and produce visual reports to aid strategic decision-making

Document Control & Compliance
  • Manage document control systems including technical documentation, drawings, and correspondence

  • Maintain document registers, ensuring accuracy and accessibility

  • Prepare, compile, and close out Operations & Maintenance Manuals and Handover Documentation

  • Distribute latest approved documents to relevant teams

  • Ensure organized archiving and adherence to company documentation procedures

Administrative & Office Support
  • Handle communications, including emails, calls, and written correspondence

  • Perform general office administration tasks such as supply ordering, printing, and meeting coordination

  • Support office maintenance to foster a productive working environment

  • Take on additional tasks as needed to support the wider team

  Person Specification Essential
  • Advanced IT proficiency: Strong in MS Excel (pivot tables, formulas, data manipulation) and Dalux

  • Analytical mindset: Able to interpret data and develop actionable visual insights

  • Organised and detail-focused: Ensures accuracy and compliance in documentation and data

  • Self-motivated: Works independently, takes initiative, and solves problems proactively

  • Effective communicator: Presents data clearly and collaborates well with teams

Desirable
