Our client, one of the largest legal practices in Surrey and a leading firm in the Southeast, is seeking a Legal Secretary to support a team of 5, along with 2 PA’s and 1 Legal Secretary. This role is crucial in supporting our Private Client department to deliver outstanding client service through expert, clear advice and assistance. If you have a strong background in legal secretarial work, particularly within Private Client services, and thrive in a supportive and progressive environment, this position is for you.

Day-to-day of the role:

  • Prepare correspondence and documents through audio-typing and word processing.
  • Administer filing, including the opening, closing, storage, and retrieval of client files in line with office procedures.
  • Prepare mail and enclosures for dispatch and arrange for all copying as needed.
  • Make appointments, arrange meetings, and maintain an up-to-date diary for the principal.
  • Prepare the conference room for meetings and provide refreshments as requested.
  • Provide support to other secretaries and guidance to junior and temporary secretaries.
  • Attend to clients both in person and on the telephone in a professional and friendly manner.
  • Undertake specific training as required and take responsibility for self-development.
  • Ensure the confidentiality of all the firm’s and clients’ documentation and information.
  • Operate the firm’s Case Management System and maintain high standards of document presentation.
  • Consider improvements to the efficiency of the department and undertake other duties as required.

Required Skills & Qualifications:

  • Substantial previous Legal Secretarial experience, including at least 1 year in Private Client services.
  • Fast touch-typing speed.
  • Intermediate or advanced IT skills in relevant packages.
  • Demonstrates high levels of accuracy and professionalism in client communication.
  • Well-developed interpersonal, social, and communication skills.
  • Ability to work proactively, manage priorities, and cope under occasional pressure.
  • Preparedness to take on varied tasks as required by fee earners.
  • Demonstrates a clear commitment to the firm and a genuine interest in legal work.
