Engineering Admin Assistant (Office-Based, Ipswich, £25-30k DOE, Pro Rata)

Are you an organised, proactive administrator looking to support a busy team in a fast-paced environment? We are seeking an Engineering Admin Assistant to provide essential administrative support, ensuring projects run efficiently while working within a friendly and professional office environment.

This is an office-based role in Ipswich, offering 30-40 hours per week depending on your preference, making it ideal if you are looking for flexibility while building your career.

What you'll be doing:
  • Providing admin support for projects including tender coordination, updating project databases, preparing reports and meeting minutes, and arranging site surveys

  • Managing document control and ensuring accurate filing of project emails and documents

  • Coordinating meetings and tracking deadlines for the project teams

  • Assisting with tender and design submission processes, ensuring all documentation is managed effectively

  • Supporting the admin processes needed to maintain ISO and other certifications

  • Booking travel and managing diaries for team members

  • Supporting daily office operations including answering phones, managing emails, and maintaining office supplies

  • Preparing and formatting documents to ensure consistency and high standards

  • Liaising with team members to ensure clear communication across projects

  • Supporting events, training sessions, and workshops as needed

  • Providing additional administrative support where required, maintaining confidentiality and professionalism at all times

What we're looking for:
  • Previous experience in project administration, project coordination, or document control (desirable)

  • Highly proficient IT skills including confidence with Microsoft Excel, PowerPoint, and Word

  • Excellent organisational skills with the ability to manage deadlines and prioritise effectively

  • Strong attention to detail and accuracy in all tasks

  • Confident communicator both verbally and in writing

  • Able to build strong working relationships with colleagues, suppliers, and clients

  • Ability to work using your own initiative while also being a team player

  • Confidence to ask questions to ensure clarity on task requirements

  • Flexible and adaptable with a proactive mindset
