About the Role
My client is seeking a highly organised and proactive Sales & Executive Support Coordinator to provide dedicated administrative and operational support to the Sales Director and wider Sales team during a period of maternity leave (6-8 Months)

In this pivotal role, the successful candidate will ensure the seamless day-to-day running of sales operations, including managing diaries and travel arrangements, coordinating meetings and events, and supporting internal and external communications. 

Key Responsibilities

  • Provide day-to-day administrative assistance to the Managing Director and Sales team.
  • Manage the Managing Director’s diary, ensuring efficient scheduling and prioritisation of meetings and commitments.
  • Compile and process expense reports accurately and in a timely manner.
  • Coordinate travel arrangements for the Sales team, including flight, train, and accommodation bookings.
  • Support daily business operations by attending regular engineering, production, and shipment meetings.
  • Maintain accurate and accessible records of key meetings (CRM, S&OP, and others) within SharePoint.

Meeting & Communication Coordination

  • Organise, prepare and action items for the bi-weekly Sales Open Forum meetings.
  • Liaise with Marketing to share approved social media posts and communications.
  • Coordinate team celebrations and recognition, including birthday cards and acknowledgements.
  • Book meeting venues, restaurants, and other event spaces as required.

Project & Event Support

  • Assist in the planning and delivery of sales workshops, conferences, and internal events.
  • Manage the ordering of branded clothing and promotional materials for events.

General Administration

  • Prepare purchase requisitions and ensure compliance with internal procurement processes.
  • Monitor and share relevant industry news, articles, or updates with the wider Sales team.

Skills & Experience Required

  • Proven experience in an executive assistant, team coordinator, or senior administrative role, ideally within a commercial or sales environment.
  • Strong organisational skills and meticulous attention to detail.

2 Days a week - Tuesday & Wednesday
