Description

Prepare, draft, and format legal documents such as wills, trusts, powers of attorney, and court forms in accordance with firm standards and Scottish legal requirements.

Manage diaries, appointments, and meetings for solicitors, liaising with clients, executors, and third parties professionally and promptly.

Maintain accurate and up-to-date client files and records, both electronically and in hard copy.

Handle incoming and outgoing correspondence including letters, emails, and phone calls, ensuring timely and professional responses.

Assist with billing and fee notes preparation and manage client invoicing processes.

Liaise with clients, beneficiaries, executors, and third-party organisations such as the Registers of Scotland, banks, and accountants.

Coordinate the administration of estates, including filing tax returns and applying for confirmation (probate).

Maintain confidentiality and comply with data protection regulations at all times.

Support solicitors with research and case management as required.

Keep up-to-date with changes in legislation affecting private client work in Scotland.
Profile

Proven experience as a legal secretary or personal assistant, preferably within private client or family law departments.

Knowledge of Scottish private client law, including wills, executries, trusts, and powers of attorney.

Excellent written and verbal communication skills.

Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and legal case management software.

Strong organisational skills with attention to detail and ability to manage multiple tasks simultaneously.

Professional, client-focused attitude with excellent interpersonal skills.

Ability to work under pressure and meet deadlines.
