Role Overview:

Alecto Recruitment Ltd is seeking a Part-Time Fleet & Plant Administrator to support the effective management of our client's vehicle fleet. This role ensures the legal compliance, certification, and efficient utilisation of their fleet and plant assets, supporting multiple departments including Transport, Plant, Buying, Workshop, and Yard.

Working Hours:

  • 09:00 - 15:00, Monday to Friday.

Key Responsibilities:

Administrative Duties:

  • Maintain internal systems and databases with up-to-date and accurate information.
  • Produce, update, and assist with data reporting for Fleet, Plant, and Transport departments.
  • Respond to phone calls and email enquiries professionally and efficiently.
  • Provide holiday and absence cover within the wider logistics team when required.

Fleet Management:

  • Monitor vehicle usage and driving standards using telematics systems and DashCams.
  • Track and manage driver certifications and training records to ensure full compliance.
  • Liaise with drivers and other team members regarding fleet-related matters.
  • Ensure all vehicles are road legal, taxed, insured, serviced, and MOT-compliant.
  • Log and respond to vehicle-related enquiries from site operatives promptly.

Plant & Equipment:

  • Assist in maintaining certifications for all internal and external plant equipment.
  • Collaborate with the Plant Department and Yard personnel to ensure all machinery is compliant and well-documented.

Transport Logistics:

  • Support the Transport Manager in planning and coordinating daily vehicle movements.
  • Contribute to cost-effective route planning and efficient vehicle usage.
  • Facilitate clear and timely communication between drivers and site operatives.

Yard Support:

  • Help ensure the yard remains legally compliant and organised.
  • Maintain an awareness of material and equipment stock levels.
  • Assist with general yard maintenance.

Skills & Experience:

  • Strong working knowledge of IT systems and Microsoft Office (especially Excel).
  • Excellent communication skills, both written and verbal.
  • Ability to manage multiple tasks and prioritise effectively.
  • Strong attention to detail and organisational skills.
  • Understanding of compliance requirements for commercial vehicles and plant machinery.
