Job Description:
- Welcome and engage with patients in a warm, confident, and professional manner.
- Coordinate and manage appointments and recall systems using Software of Excellence (SOE).
- Respond promptly and courteously to patient enquiries via phone, email, and in person.
- Process payments, reconcile daily takings, and oversee patient account management.
- Maintain a clean, calm, and welcoming reception and waiting area at all times.
- Assist the clinical team in maintaining an efficient and well-structured daily schedule.
- Support compliance with CQC standards and maintain relevant documentation and audit records.
- Manage and maintain softwares.
- Oversee staff rotas, monitor absences, and maintain up-to-date training records.
- Manage stock levels and maintain effective supplier relationships.
- Assist with recruitment, staff onboarding, and ongoing team training and development.
- Track and report on key performance indicators (KPIs) and practice performance for review.
- Ensure all administrative practices adhere to GDPR and GDC regulations.
Person Specification:
- A minimum of 5 years' experience in dental practice management or a senior front-of-house role, with 10+ years preferred.
- Proficient in Software of Excellence (SOE) – this is a mandatory requirement.
- Comprehensive understanding of CQC standards and proven experience in inspection readiness.
- Demonstrated experience reporting directly to a Principal dentist or business owner.
- Highly proactive, well-organised, and solutions-oriented with a strong professional presence.
- Excellent interpersonal and communication skills, with the ability to build rapport with both patients and team members.
- Familiarity with patient finance platforms such as Tabeo (or equivalent) is an advantage.
