About the Role

Fleet Maintenance & Repairs:

  • Coordinate regular servicing and maintenance of the fleet.
  • Ensure all vehicles undergo necessary checks, repairs, and inspections in line with company policies and legal requirements.
  • Liaise with third-party suppliers and service providers for vehicle repairs and maintenance.
  • Monitor vehicle conditions and recommend replacements when necessary.


Fleet Compliance:

  • Ensure the fleet complies with all relevant UK laws and regulations (e.g., MOT, road tax, insurance, emissions standards).
  • Register all vehicles on relevant databases to maintain compliance with LEZ/ULEZ zones and government-controlled access points.
  • Maintain accurate records for each vehicle, including insurance, service history, and licensing.
  • Assist with fleet audits and inspections.


Vehicle Allocation & Usage:

  • Allocate vehicles to drivers based on needs and priorities.
  • Monitor and track vehicle usage to ensure efficiency and cost-effectiveness.
  • Schedule vehicle usage to ensure optimal fleet utilisation.


Cost Management:

  • Track and manage costs related to the fleet, including fuel, maintenance, insurance, and repairs.
  • Implement measures to reduce fleet operating costs where possible.
  • Manage parking fines and penalties, ensuring drivers are held accountable and repeat issues are escalated.


Driver Support & Safety:

  • Provide support to drivers regarding vehicle-related issues.
  • Ensure drivers are aware of and comply with all fleet-related policies and procedures, including health and safety regulations.


Fleet Documentation:

  • Ensure all vehicle records are up to date and accessible.
  • Prepare and submit necessary paperwork for vehicle licensing, taxation, and insurance renewals.
  • Prepare regular reports on fleet performance, costs, and maintenance.

Requirements
  • Exceptional administration and coordination skills.
  • Previous experience in fleet management, transport coordination, or a similar role is preferred.
  • Experience working with vehicle maintenance schedules and compliance is beneficial.
  • Strong organisational and time-management skills.
  • Excellent communication skills.
  • Ability to work well under pressure and handle multiple tasks.
  • Knowledge of vehicle maintenance processes and relevant UK legislation.
  • A qualification in transport management or a related field is advantageous (e.g., CPC - Certificate of Professional Competence).
