We are seeking an Administrative Assistant to provide essential support to the Passenger Fleet Team within the Passenger Transport Unit. This role is crucial in contributing to the aims and objectives of the Passenger Transport Service, adhering to Departmental Policy & Procedure and relevant Legislation. The position involves the creation and development of both IT and paper-based systems.
Day-to-day of the role:- Gain an understanding of the drivers’ daily programmes and maintenance schedules, providing support and assistance to Departmental Drivers and Escorts as needed.
- Update and maintain databases, including designing and producing simple spreadsheets. Identify any issues with data and extract reports as necessary.
- Produce a range of typed documents from various sources using different software packages related to service provision.
- Take minutes at meetings and produce written/typed notes as required.
- Record and process orders and invoices relating to Passenger Fleet Contracts.
- Comply with all quality management systems, procedures, and working practices.
- Respond to and handle internal and external telephone calls regarding general transport enquiries and requests in a professional and courteous manner.
- Experience in administrative roles, preferably within a transport or fleet management environment.
- Proficiency in various software packages for document production and database management.
- Ability to design simple spreadsheets and identify data-related issues.
- Strong organisational skills with the ability to take detailed minutes and manage documentation effectively.
- Excellent communication skills, capable of handling telephone calls professionally.
- Commitment to quality management and adherence to set procedures and practices.
